Job Description
Our Development & Permits department is seeking an Office Coordinator that can provide administrative support to the Office of Zoning Administrator and the Code Officials for new construction and existing structures.
The successful candidate for this position will be able to do the following:
Utilize computers, copiers and related office equipment.
Complete written correspondences with daily use of email and electronic calendar.
Provide purchases for departmental essentials, training and travel requirements.
Maintain inventory of purchases and reimbursements.
Upload and organize vital land development project files, zoning files, photos and other related correspondences in comprehensive online databases.
Attend monthly, evening meetings of the Board of Zoning Appeals and prepare minutes from a recording of the public hearings. These meetings are scheduled for the fourth Thursday of each month. This person will be required to speak publicly during these meetings.
Provide administrative support to the Board of Zoning Appeals by performing all duties of the Recording Secretary as outlined in their by-laws.
Coordinate and oversee all required distributions of materials for public hearings, special requests, etc., pertaining to tasks assigned to Zoning Administration.
Attend Local Board of Building Code Appeals meetings and prepare minutes from the recording of the public hearings. These evening meetings are set for the third Wednesday of the odd-numbered months.
Provide administrative support to the Board of Building Code Appeals by performing all the duties of the Recording Secretary.

Required Qualifications
VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires any combination of education and experience equivalent to an associate’s degree in word processing, secretarial skills, or a closely related field.
EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of two years of full-time equivalent experience in administrative support. SPECIAL CERTIFICATIONS AND LICENSES: Requires valid driver’s license and driving record in compliance with City Driving Standards.
SPECIAL REQUIREMENTS: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
Preferred Qualifications
Thorough approach to work with close attention to details, exceptional composition skills, proficient time management and organizational skills and demonstrated experience with Microsoft Office programs.
