Job Title: Nursing Administrative Assistant
Reports To: Director of Nursing, SNF
Job Summary: Performs various administrative tasks utilizing knowledge of office procedures. Works directly with the SNF Administrator to maintain communication and efficiency of ward clerk duties and functions and coordinates transport aides. Works closely with the Director of Nursing, Unit Managers, and Rehab Manager/Director, in carrying out responsibilities related to the interdepartmental functions of the position of all ward clerks and transport aids.
Job Responsibilities: (Please limit this to 10 core responsibilities – as opposed to a total list of tasks)
Coodinates the schedules of ward Clarks for all SNF nursing units and daily duties and functions. Covers all unit ward clerk needs in absence of any ward clerks.
Coordinates, develops and implements transportation aide schedules and daily assignments in line with nursing departmental needs, rehab support, and other nursing unit needs where directed by the Director of Nursing and Rehab Manager/Director.
Provides administrative support for all nursing unit managers with coordination of daily schedules, meetings, and events along with coordination of staffing needs in collaboration with scheduling coordinator
Implements and completes all nursing unit ordering of routine supplies and needs based on approved budgets and par levels.
Assists with coordination of nursing staffing to ensure uniformed allocation of nursing coverage across all units.
Will attend meetings and events were directed by the Director of Nursing and Unit Managers to assist with meeting agendas, minutes and sharing of communication updates with nursing departments.
Covers administrative assistant functions in absence of administrative assistants’ coverage in admin office as assigned by Administrator or Assistant Administrator.
Assists with payroll completion were assigned.
Completes assigned QAPI audits and reports findings to departmental leaders and quality assurance lead.
Ensures nursing units are in compliance with NYS DOH regulations in line with survey readiness.
Requirements
Two years’ administrative, secretarial or leadership support experience preferred.
High School Diploma or GED required
Language Skills:
Excellent grammar, ability to spell, knowledge of proper punctuation and knowledge of proper form and format of various correspondence and reports.
Excellent communication skills. Ability to interact with visitors and employees in a friendly manner.
Skills:
Computer skills required.
Typing at 60 plus wpm.
Must be able to present a very personable image too and communicate effectively with a wide cross-section of individuals. In addition, must be able to effectively deal with difficult people and/or problems which sometimes occur.
High initiative, quick thinker, and adept problem solver. Ability to make rapid decisions and deal calmly and successfully with a variety of details.
Must be flexible, willing to work extra hours as needed.
Proven ability to contribute to a team and to deliver results on time with the available resources and within budget.
