Senior Administrative Specialist – Landscape Construction
Pay range: $58,000 – $62,000
Planted Earth Landscaping is seeking a full-time Branch Senior Administrative Specialist to join our dynamic team.
This essential role serves as a central point of coordination between our Landscape Installation and Landscape Management divisions, ensuring seamless operational and project administration across both teams. The ideal candidate will provide high-level administrative oversight, take ownership of project-related processes —including estimating and managing change orders — and maintain a proactive role in the financial and operational health of projects.

We are industry leaders in innovation, quality, and meticulous attention to detail, serving high-end residential properties with full-service installation and maintenance.
Key Responsibilities:
Project Coordination & Oversight:
Manage and track project timelines, budgets, and deliverables in collaboration with Division Managers and Project Managers/Account Managers.
Take full ownership of change order estimating, processing, and documentation to ensure accurate scope, pricing, and timely approvals.
Manage project setup and closeout, including preparation of job packets, budgets, cost codes, and compliance documents
Manage local permitting and utility locator coordination.
Manage tracking job costing, including materials, equipment, and labor, ensuring accurate reporting and timely adjustments as needed.
Financial & Administrative Management:
Oversee invoice processing, accounts receivable, job billing, and vendor documentation.
Assist Division Managers with financial reporting, monthly reconciliations, and budget monitoring to maintain project profitability.
Coordinate payroll reporting by tracking employee hours and job allocations.
Vendor & Sub-contractor Relations:
Serve as a key administrative point of contact for vendors and subcontractors, ensuring clear communication and timely response to inquiries.
Manage and process purchase orders, change orders, and related documentation using Aspire software
Team & Office Management:
Schedule and coordinate meetings, appointments, and calendars for division leadership.
Prepare agendas, maintain meeting minutes, and follow up on action items for weekly team meetings.
Provide clerical and logistical support to Sales, Project, Account Managers, and Division Managers.
Monitor and maintain office and field supplies as needed.
Qualifications:
Strong project coordination or administrative experience within the landscaping, construction, or related industry preferred.
Proficiency in project budgeting, change order processes, and financial tracking.
Excellent organizational and multitasking skills, with keen attention to detail.
Strong communication and interpersonal skills, able to work independently and collaboratively.
Proficient with Microsoft Office Suite and relevant industry software
Experience with Aspire software a plus
