Description of Work
This Executive Assistant plays a key role in operational effectiveness by working closely with SHIELD’s Director to create, execute, and maintain administrative processes that support the work of a field-based professional staff.
This position will be reporting at SHIELD headquarters in Salemburg, Sampson County.
Responsibilities include, but are not limited to:
Overseeing fiscal operations for SHIELD in accordance with DAC policy (facilitate contracts, procurements, requisitions/purchase/receiving orders, and other actions in NCFS) and investigate and correct errors/discrepancies
Maintaining the Director’s calendar including scheduling, prioritizing, trouble-shooting conflicts, coordinating travel (authorizations and reimbursements), and liaising with internal and external stakeholders
Organizing and managing events for SHIELD will be a staple job function including coordinating training and lodging reservations for staff/vendors in addition to coordinating/participating in interviews, completing personnel actions and hiring packages, and conducting onboarding and administrative training for new and existing staff
Maintaining recordkeeping of files for division operations including but not limited to SHIELD meeting minutes, motor fleet management, purchasing, human resources and personnel files, and other such records in accordance with DAC and OSHR policy guidelines
Note: Occasional day and overnight travel will be required in this position’s duties.
This is a full-time position (40 hours per week) with State Benefits.
As of January 1, 2025, there are new increase adjustments to the state’s pay plans which were approved by the State Human Resources Commission, effective January 1, 2025. The new salary range will be $43,738 – $76,542.

If selected for this position, a new salary will be recalculated taking into consideration the quantity of relevant education and experience, funding availability, and internal equity. Based upon these factors, a pay increase MAY result.

To qualify for this position, applicants must document on the application that they possess ALL of the following:
Experience performing administrative tasks with strict adherence to confidentiality and accuracy using policy, legal and/or ethical standards
Thorough knowledge of governing peer support and clinical mental health services and demonstrated ability to apply this knowledge in performance of administrative support
Experience compiling, assimilating, disseminating, and organizing confidential printed and electronic information
Experience identifying and resolving conflicts and/ or discrepancies
Management Preferences:
Ability to maintain effective relationships with internal and external stakeholders and coordinate space for SHIELD business within the agency and beyond
Experience providing direction and support to a director and diverse team of professionals
Experience with MS Office products such as Power Point, Word, Teams etc.
Minimum Education and Experience Requirements

Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution

Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience
(OR)
High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience (OR) an equivalent combination of education and experience

Department of Adult Correction is one of the largest state agencies with more than 19,000 employees.
