We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. This role is essential in ensuring the smooth operation of the executive office and requires a blend of administrative expertise, communication skills, and the ability to manage multiple tasks efficiently. Responsibilities
Provide executive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Handle correspondence, including emails and phone calls, demonstrating excellent phone etiquette and customer service skills.
Prepare and transcribe meeting minutes, reports, and other documents as needed.
Assist in office management tasks to ensure an efficient working environment.
Maintain accurate records using QuickBooks for financial tracking and reporting.
Perform clerical duties such as filing, data entry, and document management.
Proofread documents for accuracy and clarity before distribution.
Act as a personal assistant when required, managing personal tasks for the CEO as necessary.
Collaborate with other departments to facilitate communication and project coordination.
Skills
Proficiency in QuickBooks is preferred for financial management tasks.
Strong office management skills with a focus on organization and efficiency.
Excellent phone etiquette to represent the CEO professionally in all communications.
Experience in clerical work with attention to detail in all documentation processes.
Proven ability to provide executive administrative support in a fast-paced environment.
Capable of functioning as a personal assistant with discretion and confidentiality.
Strong customer service skills to effectively interact with clients and stakeholders.
Exceptional proofreading abilities to ensure high-quality written materials.
Familiarity with general office procedures and practices is essential.
