Job Summary
Reporting to the Executive Assistant to Interval’s Executive Vice President and Managing Director, the individual in this position provides comprehensive organizational and administrative support to various departments and teams, uses computer databases to update records, manage reservations, and handle work-related information. Responds to clients and associates’ inquiries via telephone, email, and in person, efficiently transmitting information through various channels. Adheres to company policies, maintains a professional appearance, ensures confidentiality of proprietary information, and contributes to a positive team environment, all while meeting quality assurance standards and addressing safety protocols. A hybrid schedule is not a feasible option for this role. The position requires on-site presence at the Interval Corporate office Monday to Friday.

Demonstrates proficiency in using various software for document preparation and management.

Client Relations

Addresses client needs promptly and professionally, employing effective communication.

Extends a warm welcome to clients and associates, anticipating their requirements and providing assistance.

Collaboration

Supports and respects associates, fostering positive working relationships.

Engages in collaborative efforts across departments to achieve common objectives.

Handles sensitive matters with discretion and confidentiality.

Task Management

Uses office technology to retrieve information and to execute tasks.

Manages physical tasks, handling objects independently within prescribed weight limits.

Office Equipment

Operates standard office equipment, including telephones, copiers, conference room equipment, and electronic peripherals.

Proactive submitting IT tickets, monitoring SLAs, and driving issues to closure in a professional manner.

Safety and Security

Reports incidents promptly, adhering to safety and security protocols for a secure work environment.

Candidate Profile

Education

High School Diploma, awareness of Hotel Management, Vacation Ownership, or prior experience in the Hospitality industry is highly advantageous.

Experience

Minimum 2-3 years of related administrative work experience, including creating and editing PowerPoint presentations, managing schedules, handling phone calls, responding to emails, and organizing documents.

Familiarity with office software and equipment, including word processing, spreadsheets, databases, and general office equipment operation.

Proven experience working collaboratively with colleagues, supporting team goals, and maintaining positive working relationships.

Demonstrated experience handling confidential information and maintaining privacy.
