Position Summary
The Executive Assistant will provide high-level administrative support to the Executive Director, ensuring the efficient operation of the foundation. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a mission-driven environment.
Key Responsibilities
Administrative Support
Manage the Executive Director’s phone calls, calendar, appointments, and travel arrangements.
Draft, proofread, and manage correspondence, reports, and presentations.
Coordinate and prepare materials for meetings, including board meetings.
Handle confidential information with integrity and discretion.
Meeting & Event Coordination
Schedule and organize internal and external meetings.
Take and distribute meeting minutes, track follow-up actions.
Assist with event planning, logistics, and donor engagements as needed.
Communication & Liaison
Serve as a point of contact between the Executive Director and staff, board members, partners, and donors.
Maintain effective communication and ensure timely follow-up on key issues.
Project Management
Support cross-functional initiatives and ensure deadlines are met.
Conduct research and compile data to support strategic decision-making.
Operational Support
Maintain records and filing systems (digital and physical).
Assist with special projects and tasks as assigned by leadership.
Coordinate with finance, development, and program teams when needed.
Other duties as assigned.
Qualifications
Bachelor’s degree or equivalent work experience preferred.
Minimum of 3–5 years of experience in an executive or administrative assistant role, preferably in the non-profit sector.
Strong proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Teams).
Excellent written and verbal communication skills.
Ability to handle sensitive matters with tact and discretion.
Demonstrated organizational and problem-solving abilities.

The pay range for this role is:
70,000 – 80,000 USD per year(Long Beach)
