We are seeking a detail-oriented and highly organized Administrative Assistant to support the smooth and efficient operation of our office. The Administrative Assistant will be responsible for a variety of administrative and clerical tasks to help maintain a productive and well-organized work environment. The ideal Administrative Assistant will have excellent communication skills, a proactive mindset, and the ability to multitask effectively in a fast-paced setting.
Key Responsibilities
The Administrative Assistant will manage calendars, coordinate meetings, and schedule appointments for team members and executives.
Act as the first point of contact for internal and external communications, ensuring that inquiries are directed to the appropriate parties.
The Administrative Assistant will maintain physical and electronic filing systems to ensure easy access to important documents.
Prepare and edit correspondence, communications, presentations, and other documents as directed by leadership.
Organize logistics for meetings, events, and travel arrangements for staff and guests.
The Administrative Assistant will order and manage office supplies, inventory, and vendor relationships to maintain an efficient workplace.
Monitor and manage general office operations, including maintenance requests and office cleanliness.
The Administrative Assistant will handle confidential and sensitive information with discretion and professionalism.
Provide support for onboarding new hires, including preparing materials, scheduling orientations, and assisting with initial HR paperwork.
Assist with tracking expenses, processing invoices, and preparing reports as needed.
Required Qualifications
High school diploma or equivalent; an associate’s or bachelor’s degree in Business Administration or a related field is preferred.
1–3 years of experience as an Administrative Assistant, Office Assistant, or in a similar administrative support role.
Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office management systems and procedures.
The Administrative Assistant must have excellent written and verbal communication skills.
Proven time management, organization, and problem-solving abilities.
The Administrative Assistant should be comfortable working independently as well as part of a team.
Preferred Skills
Familiarity with Google Workspace and tools such as Zoom, Slack, or project management software (e.g., Trello, Asana).
Prior experience working with executive-level leadership as an Administrative Assistant is a plus.
Ability to prioritize tasks and meet deadlines under minimal supervision.
Basic knowledge of bookkeeping and data entry is an asset for the Administrative Assistant role.
Work Environment
The Administrative Assistant will typically work in a professional office setting, though hybrid or remote arrangements may be available depending on company policy.
Standard working hours apply, but the Administrative Assistant may occasionally need to work overtime during high-volume periods or to support special projects.
