Position: Administrative Assistant (Part-Time)
The Administrative Assistant is responsible for welcoming students and guests to the campus, answering the phone, and collecting new start disclosures for student files. This is a Permanent Part-Time on-site (campus based) position.
Administrative Assistant Duties and Responsibilities:
Monitor the front desk, lobby, entrance area and conduct check-in procedures.
Greet everyone entering or calling the school in a professional and courteous manner.
Handle requests/transactions by assessing needs or directing the person or matter to the proper sources.
Assist in resolving problems and ensuring satisfactory customer service.
Responsible for the majority of incoming/outgoing phone calls. Use effective telephone techniques at all times.
Route and disposition all voicemails and messages effectively using the company directory as they come in or within 1-2 hours.
Collect all new start acknowledgment forms and admissions interview guides and scan into the electronic file for each student.
Update student records with directory information accurately. Administer the entrance assessment following SAE Policies and Procedures.
Assist with the coordination of graduation ceremonies, orientation, open house, and other on-campus activities as requested by the Campus Director.
Operate office equipment such as printers, copy machines, and fax machines, and serve as liaison with service and vendor personnel.
Coordinate office supply ordering, with the approval of the Campus Director.
Keep front desk, lobby, and break room/kitchen areas neat, tidy, and welcoming.
Receive mail or correspondence for the campus. Open or review correspondence and determine proper disposition.
Assist with all or any administrative duties set forth by the Campus Director.
Comply with all SAE Policies and Procedures.
Other duties as required.
Administrative Assistant Essential Skills, Knowledge and Experience:
Proficiency in MS Office and Internet search.
Proficiency in Mac Computer and PC.
Good organizational skills.
Willingness to represent the school honestly and ethically in a professional manner.
Ability to communicate effectively in English, both orally (in one-on-one and group settings) and in writing.
Prefer knowledge of academic student record keeping in a higher education setting.
Ability to establish and maintain effective working relationships with staff, faculty, students, and community members, and to effectively deal with potential public relations problems courteously and tactfully.
Ability to work with diverse constituencies, individually and as a group.
Willingness to work on a flexible schedule as required (includes evenings and weekends).
Additional Information:
This is a Permanent Part-Time on-site (campus based) position. Hourly Rate: $18
Work schedule is 9:00 am – 3:30 pm Monday to Thursday and Friday 9:00 am – 1:00 pm.
Sitting for long periods. Dexterity and coordination to handle files and single pieces of paper, occasional lifting of items weighing up to twenty-five (25) pounds such as files, stacks of paper, reference and other materials. Moving from place to place within the organization, minimal reaching for items above and below desk level. Strength, dexterity, coordination, and vision to use keyboard and video display terminal for prolonged periods.
