Who we need
This position will provide administrative and clinical support to an assigned location or program. The Program Assistant acts as a receptionist, assists in check-in, check-out, scheduling and confirming appointments, and ensures proper filing of clinical documentation in the electronic health record. The Program Assistant also provides direct care services as needed and directed by program leadership.
MINIMUM QUALIFICATIONS:
Must be a minimum of 21 years of age.
Minimum HS Diploma/GED and two (2) years of relevant experience in a behavioral health setting.
Must have a fingerprint clearance card issued by the AZ Department of Public Safety or eligible to receive one within eight (8) weeks of hire.
Must have reliable transportation, valid AZ Driver’s License with state minimum insurance coverage and ability to meet and maintain Copa Health’s acceptable driving requirements.
TB Test clearance required at the time of hire and annually.
JOB SUMMARY (Including, but not limited to):
Work with site leadership to review, monitor, and correction of department notes including, time overlap reports and templates with no documentation report.
Responsible for collecting and reviewing transportation logs for company vehicles and transportation trackers
Acts as a liaison between team and member (greets, receives, and escorts consumer to appointment when needed).
May assist with co-facilitation of groups when needed.
Collects, monitors, scans, and enters data/information into the electronic health records or as assigned.
Requests updated documents as needed for the electronic health records.
As receptionist greets, receives, and ensure sign in sheets are signed.
Manages the SMS scheduling program for appointments
May assist Program Leadership by using Nexus to monitor and manage caseload size, making sure members are seen regularly, annual updates needing completed, discharges, and general maintenance of caseload done in timely fashion.
Provide support and coverage to Office Assistants within assigned location
Support the growth of the program by covering and assisting with referrals scheduling and scanning documents into files
Assists in assessing transportation needs, arranging transportation, providing bus passes, and billing for services appropriately
Completes reminder calls, and other outreach as assigned and bills appropriately
Verifies eligibility, assists with benefits, and coordinates support as needed
Coordinates care related to member records, referrals, and documents and bills appropriately.
Assures positive member outcomes by providing exceptional member care and timely documentation of services by consistently meeting optimal engagement and performance standards.
Completes all clinical documentation in a timely manner in accordance with policies, procedures, and clinical protocols.
Meets/exceeds member engagement goals as defined by the program.
Adherence to all agency policies, licensure, and training requirements.
To ensure compliance & adequate services, additional job duties may be required to meet the needs of the program and or department.
