Position Summary
The Executive Assistant (EA) will provide high-level administrative support to the Executive Director for Operations and the Chief Administrative Officer (CAO) at Massey Comprehensive Cancer Center. This role will be responsible for coordinating executive-level activities, managing complex schedules, handling confidential communications, and assisting with faculty onboarding processes. The EA will play a key role in ensuring seamless administrative operations within the executive office.
Key Responsibilities
Executive Support
Provide comprehensive administrative support to the Executive Director for Operations and the CAO, including calendar management, meeting coordination, and travel arrangements.
Prepare and edit correspondence, reports, and presentations on behalf of executive leadership.
Serve as the primary point of contact between internal/external stakeholders.
Coordinate and track follow-ups from leadership meetings to ensure timely execution of action items.
Maintain and organize confidential records and documentation.
Faculty Onboarding Support
Serve as a liaison between new faculty members and key departments, ensuring a smooth onboarding experience.
Coordinate onboarding logistics, including credentialing, HR documentation, workspace setup, and IT access.
Develop and maintain onboarding checklists and process guides to streamline faculty integration.
Facilitate introductions and schedule orientation meetings with relevant stakeholders.
Operational & Project Support
Assist in the development and implementation of administrative procedures to enhance efficiency within the office of Administrative Services.
Provide logistical support for internal and external events, including executive leadership meetings, retreats, and conferences.
Track key deadlines and assist in preparing reports, dashboards, and performance metrics for leadership.
Other duties as assigned.
