Purpose:
The Administrative Assistant manages the overall and daily operations of the Virginia Offices (VA). The position assists the Director and VA Leadership team in providing a higher quality of services; serves as a key contact/support for the VA Leadership team; and aids in all areas that lead to the increase in quality and effectiveness of the services for our clients and a greater impact on the communities we serve.
Responsibilities:
Essential Duties:
Operations and Leadership
Works with the Director to strategically plan the use of operations and makes recommendations
Reviews and approves all Staff Travel requests, Staff Development requests, Staff Travel Advance requests and provides oversight for compliance.
Reviews and approves requests for purchase of office supplies, including stationery orders and business cards for VA Offices. Places orders for same and follows up with delivery and set up.
Oversees IT support in coordination with the Corporate Center, assuring that all employee computers and technology are updated and functional.
Maintains communication with CWS office in Elkhart for local information needed regarding cell phones, credit cards, cash expenses, travel advances, mileage reports and internet reimbursements.
Handles all new staff paperwork, onboarding, and orientation.
Assists with staff exits, helping ensure all tasks on checklist are completed timely and company information is transferred appropriately.
Helps plan and coordinate staff meetings, virtually and on-site logistics.
Facilitates contract workers contracts for approval, payments and prepares cash expense reports for reimbursements.
Maintains department files.
Prepares reports from database as needed for review.
Sustaining Partner Lead
Assists the Office Director in building and nurturing strategic partnerships with local institutions and agencies.
Responsible for volunteer paperwork including, but not limited to, collecting background checks
Undertakes other duties as assigned
Secures failed credit card and ACH attempts with monthly donors
Provides oversight for the monthly giving program and communication with donors
VA Leadership Team Support
Assists VA Leadership in building and nurturing strategic partnerships with local institutions and agencies.
Assists with research.
Assists and or provides reports for team review
Follows up with community partners as requested
Facilitates alerts and follows up with Data Processing for appropriate coding and receipting
Maintains database as needed with address, phone and name corrections, deletions and separations of accounts.
Undertakes duties as assigned.
Qualifications:
Education and Experience:
Bachelor’s Degree or Equivalent Work Experience required.
3 years’ work experience in office management and human resources required
Other Skills:
Must be computer literate, with proficiency in MS Office Suite (Word and Excel), experience with a CRM or other donor relationship management system and internet applications.
Strong organizational and time management skills are required.
Must demonstrate creativity and initiative and must be able to handle multiple projects and responsibilities simultaneously.
Special Requirements:
The job will require reference checks, standard criminal background checks, and motor vehicle background checks.
