We are seeking a dynamic and compassionate Mental Health Office Manager to join our team and help us continue to grow and excel in our mission.
Position Overview:
As the Office Admin, you will be the heartbeat of our office, ensuring smooth operations, exceptional customer service, and a welcoming environment for clients and staff alike. You will manage daily administrative tasks, oversee insurance processes, and support our team in delivering outstanding mental health care. We are looking for someone who thrives in a family-like atmosphere and is passionate about both personal and professional growth.
Key Responsibilities:
· Office Management: Oversee daily office operations, including front desk responsibilities, managing office supplies, and maintaining a welcoming environment.
· Scheduling: Oversee scheduling using an EHR.
· Proficient in Oregon Health Plan: Ability to understand and implement OHP, its forms, standards, rules, and regulations, as well as OAR’s and more. Coordinate care plans and appointments for clients.
· Insurance Handling: The ability to understand some insurance billing and claims processes, ensuring accuracy and compliance with regulations, a plus.
· HIPAA: Ensure compliance with HIPAA regulations and maintain patient confidentiality.
· Collaboration: Work closely with other administration to implement policies, handle scheduling, and address any operational issues.
· Billing: Manage client billing information and payments, ensuring accuracy and timeliness.
· Customer Service: Provide exceptional customer service, addressing client inquiries and concerns with empathy and professionalism. Handle patient inquiries and resolve any issues or concerns promptly
· Organizational Skills: Maintain a clean, well-organized office environment, ensuring all records and documentation are up-to-date and accessible.
· Family Atmosphere: Contribute to a positive, family-like work environment where team members support and empower each other.
· Team Player: Collaborate effectively with colleagues, fostering a supportive and empowering team dynamic.
· Records: Maintain accurate records in accordance with Oregon and Journeys…A Center for Your Souls standards.
· Policies: Maintain the structure and communication of our policies and protocols, ensuring they are well-documented, regularly updated, and followed correctly, including but not limited to H.I.P.P.A., State standards for safe business, O.S.H.A, etc. In addition, you will be asked to recommend new policies when needed and update manuals accordingly as new policies are approved.
· Meetings: Attend scheduled meetings.
· Multi-line Phones: Use a multi-line phone system effectively.
Qualifications:
· Proven experience in office admin, in a mental health or other healthcare setting.
· Familiarity with receptionist duties and medical scheduling systems (EHR).
· Knowledge of and experience with implementing and using the Oregon Health Plan (OHP) in a healthcare setting.
· Knowledge of office management procedures.
· Knowledge of mental health terminology helpful.
· Teaching skills to create and support a masterful team.
· A desire for personal and professional development, with a willingness to take on new responsibilities and grow within the organization.
· Knowledge of insurance billing and claims processes helpful, but not required.
· Excellent organizational and multitasking skills.
· Demonstrated ability to work with, and support a team of employees.
· Strong problem-solving abilities and adaptability to change.
· A creative mindset with a passion for innovation and improvement.
· High level of integrity, flexibility, and a collaborative team spirit.
· Ability to embrace change and growth, showing flexibility and creativity in adapting to new challenges and opportunities.
· Strong moral principles and proven integrity.
· Interest or background in spirituality and/or psychology is a plus.
