Job Title: Administrative Assistant

Job Responsibilities & Tasks

We are seeking a highly organized and proactive Administrative Assistant to support our team in ensuring smooth office operations. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.

Upload monthly financial statements to online homeowner portal monthly.

Assist with data upload projects to portal, as needed basis.

Assisting homeowners with portal issues via phone and email.

Clear CINC alerts on a weekly basis.

Approve pending registrations for the homeowner portal daily.

Reply to management contact us forms submitted through homeowner portal daily.

Handle sensitive information with discretion and confidentiality.

Input and maintain data in various systems and databases, ensuring accuracy.

Maintain organized electronic filing systems ensuring easy access to information.

Help with project coordination and task management, assisting team members as needed.

Update homeowner accounts based on incoming homeowner info forms (backup if needed).

Help with miscellaneous projects assigned by COO or Administrative Manager.

Monday to Friday

11:00 pm to 8:00 am Manila time all year.

1 year of experience in a similar position is preferable

Experience with data entry

Must be computer literate and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (printers, copiers, etc.)

Understand how to enter data into databases

Organization and time management

Problem solving and analysis

Clear and professional communication, both written and verbal
