Job Summary: We are seeking a detail-oriented and highly organized Administrative Assistant/Data Entry specialist. In this role, you will be responsible for entering, updating, and maintaining accurate information in our databases and systems. The ideal candidate has strong typing skills, excellent attention to detail, and the ability to manage large volumes of data with precision. You will also be the first point of contact for our company. You will greet visitors, manage phone calls, schedule appointments, and provide administrative support across the organization. The ideal candidate has excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.
Responsibilities:
· Greet and welcome guests as they arrive at the office
· Answer, screen, and forward incoming phone calls
· Provide basic and accurate information in-person and via phone/email
· Maintain the front desk and reception area in a tidy and presentable condition
· Schedule meetings and maintain office calendars
· Assist with administrative tasks such as data entry, filing, and document preparation
· Coordinate with other departments to ensure smooth operations
· Accurately input data from various sources into company databases and systems
· Review and verify data for accuracy and completeness
· Perform data cleanup and organization tasks
· Maintain confidentiality of sensitive information
· Generate reports and assist with data analysis when needed
· Communicate with team members to resolve data discrepancies
· Follow company procedures and best practices for data management
Requirements:
· High school diploma or equivalent; associate or bachelor’s degree preferred
· Proven experience in data entry or a related field
· Proficient in Microsoft Office Suite (especially Excel, Share Point and Teams)
· Strong attention to detail and organizational skills
· Ability to work independently and manage time effectively
· Familiarity with Quickbase CRM
Preferred Qualifications:
· Experience working in sales and healthcare
· Knowledge of data privacy standards and best practices
