Job Description
The purpose of this role is to assist in the work of salvation and exaltation by providing individual contributor senior level administrative support to the Area Manager of Support Services and other functional leaders (Fleet, Travel, Purchasing, IT and Retail) and teams. This role works under minimal supervision and handles complex issues and problems that require comprehensive working knowledge and independent non-routine decision making using initiative, originality, ingenuity, and sound judgment.
Responsibilities
- Proactively anticipate future needs and make recommendations to the leaders you support.
- Assist Support Services teams by coordinating work and project details and following up on pending needs to ensure that deadlines are met.
- Assist with budget preparation and control activities, including monitoring project or department/area budgets.
- Perform research, analyze information, and make recommendations based on findings.
- Compile complex data from a variety of sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using a wide range of software and platforms.
- Take meeting minutes and manage meeting documentation.
- Use computer apps and software to schedule meetings and appointments and maintain calendars for multiple leaders.
- Manage email inbox(es) of assigned leader(s) to an agreed level.
- Make travel arrangements.
- Present at meetings.
- Support office resiliency operations and response (emergency response).
- Plan, organize, and execute large meetings, conferences, and other events.
- Answer complex telephone and email requests.
Qualifications
- High School Diploma or equivalent, Bachelor degree preferred.
- 4 years of administrative or related experience.
- Comprehensive administrative support working knowledge.
- Must be an endowed member of The Church of Jesus Christ of Latter-day Saints with a current temple recommend.
Key Skills
- Communicate professionally in writing and verbally.
- Broad knowledge of the organization’s structure, functions, and key personnel.
- Utilize Microsoft Office and other software at an advanced level to schedule appointments, create and perform analysis on spreadsheets, prepare presentations, take notes and minutes, and create and update word documents.
- Provide advanced research, analytical, and data summation support.
- Proactively anticipate needs and think strategically.
- Adapt standard processes and procedures to address complex problems and find less obvious solutions.
- Problem solve and resolve complex conflict and problems through sound decision making.
- Organize and prioritize work and needs.
- Coordinate projects and events effectively.
- Operate and maintain standard office equipment.

- Train, mentor, and lead the work of others.
Physical Requirements:
The job may require sitting for long periods of time, moving about the office to deliver mail and other items, and using computer monitors/equipment.
