Temporary Administrative Assistant Job Summary:

Insulet is looking for a Temporary Administrative Assistant to assist with onboarding new Commercial leaders and provide general temporary administrative support as needed. This is a short-term assignment of approximately 2 months and will be collaborating closely with the Executive Assistant in support of SVP of Global Commercial Capabilities (GCC)/US GM. The ideal candidate will have experience making travel arrangements using Concur, be highly proficient in Outlook calendaring, and be able to collaborate and coordinate effectively with other executive assistants.

Temporary Administrative Assistant Duties and Responsibilities

Perform general, specialized, and confidential administrative functions supporting new hire onboarding, organize and coordinate community and stakeholder engagement activities, and work in collaboration with the EA in support of SVP, GCC/US GM

In working with the EA for SVP, coordinate and follow up with:

IT – onboarding processes for laptop, cell phone, desk/Jabber phone, access to shared sites/folders, SAP account activation

Facilities – physical office assignment, badge request

Finance – corporate credit card request, Concur & SAP set up/activation

Scheduling 1:1 and introductory team meetings with Executive Leadership Team and key stakeholders

Perform administrative tasks on a confidential and professional level

Provide administration duties to include heavy calendaring and booking travel

Use Concur for booking travel; prepare and submitting expense reports

Coordinate team events, meeting logistics and activities (set up meetings, hotel accommodations, catering, venues) as needed

Collaborate with other departments to ensure efficient communication and workflow

Prepare and edit documents, reports, and presentations as needed

Qualifications:

High school diploma or equivalent

Previous experience in an admin support/clerical role

Effective interpersonal and communication skills with the ability to adapt

Extensive knowledge of Word, Outlook, Excel, PowerPoint

Extensive knowledge of Zoom meetings and webinars and MS Teams

Must be able to work independently with little supervision for routine tasks

Must have excellent verbal and written skills (polished and professional)

Demonstrate the ability to learn quickly and adapt to changing situations and priorities

Strong collaboration, communication, and teamwork skills

Strong attention to detail/ accuracy, meeting deadlines, and organizational skills to manage multiple priorities

Ability to adhere to company policies and guidelines
