As our ADHD service continues to grow, we are looking for an organised and compassionate Clinical Administrator to join our Titration Team.
Role overview
The Clinical Administrator will play a key role in supporting patients undergoing ADHD medication titration. The successful candidate will be responsible for preparing clinical correspondence, managing patient communications, monitoring shared inboxes, and ensuring administrative processes are completed accurately and promptly.
This role requires excellent attention to detail, strong written communication skills, and previous experience working within a healthcare environment.
This is a temporary role currently but is expected to be converted into a permanent role depending upon business requirements.
Key Responsibilities
Clinical Administration
- Prepare and send clinical letters following clinician appointments.
- Produce GP letters, shared care requests and patient correspondence using approved templates.
- Ensure all letters are accurate, complete and issued within agreed service timescales.
- Upload clinical documents to electronic patient records.
- Maintain accurate patient records within the clinical management system.
Patient Communication
- Manage the ADHD Titration inbox and respond to patient enquiries professionally and efficiently.
- Escalate clinical queries to the appropriate clinician where required.
- Communicate with patients via telephone, email and secure messaging.
- Liaise with GP practices, pharmacies and other healthcare professionals as necessary.
Titration Support
- Support clinicians throughout the medication titration pathway.
- Track outstanding actions including blood pressure readings, questionnaires, medication requests and follow-up appointments.
- Monitor patient progress through the titration process to ensure timely completion of administrative tasks.
- Assist in arranging appointments where required.
Quality & Compliance
- Ensure compliance with GDPR, NHS information governance and confidentiality requirements.
- Maintain high standards of data quality and documentation.
- Follow Atrom Mindcare policies and Standard Operating Procedures.
- Support audits and quality improvement initiatives.
General Administration
- Assist with incoming calls and patient enquiries.
- Support the wider clinical administration team during busy periods.
- Undertake other administrative duties appropriate to the role.
Essential Requirements
- Previous experience working in a healthcare administrative role (NHS or private healthcare).
- Excellent written and verbal communication skills.
- Strong organisational skills with the ability to manage multiple priorities.
- High level of accuracy and attention to detail.
- Confident using Microsoft Office (Outlook, Word and Excel).
- Experience using electronic patient record or practice management systems.
- Professional, empathetic and patient-focused approach.
- Ability to work independently and as part of a multidisciplinary team.
Desirable
- Experience supporting ADHD or mental health services.
- Experience producing clinical letters or GP correspondence.
- Knowledge of NHS pathways and primary care processes.
- Experience using Cliniko, EMIS, SystmOne or similar clinical systems.
- Understanding of medication titration pathways.
- Familiarity with NHS Right to Choose services.
