Administrative Assistant – Transportation Market Jobs in Atlanta, GA at Gresham Smith

The Data Administrator must have good verbal communication skills including the ability to remain calm and respectful, if it’s necessary to make repeated requests for same information if not provided at first request. The Administrator should possess good written communication skills, with experience obtaining necessary data/information from multiple sources by emailing respectful and grammatically correct requests.

Must be a detail-oriented with high attention to precision and the ability to concentrate for positive, accurate results. Experience in obtaining data/information from multiple sources is essential. Must be capable of tracking, compiling, maintaining, and updating various programs and spreadsheets accurately in order to provide the status of multiple projects in varying stages of completion.

This position requires strong interpersonal skills and adaptability with the ability to work individually and as part of a team. The Administrator must be proficient in MS Word, Excel, and Outlook with ability to input data accurately. The Data Administrator does not work remotely.

Property Tax Administration, Cyclical

· Obtain upcoming assessed value from county website

· Obtain copies of tax bills, save as directed.

· Input tax bill information into internal tracking spreadsheet

· Update internal property tax narrative Excel files for monthly reports

· Double check supplemental tax bills for all clients

Cash Flow Analysis Reports, Monthly

· Obtain future month activities from Property Manager

· Obtain financial information from Accountant

· Obtain capital project information from Construction Manager

· Update information into spreadsheet

Sustainability Administration, Cyclical

· Track compliance due dates (sustainability or maintenance requirements)

· Retrieve information from tenants, if needed (sustainability or maintenance)

· Work with tenants on setting up auto upload, if available. (sustainability)

· Retrieve invoice information from AVID and other programs (sustainability)

· Input data into various client-directed systems/programs (sustainability or maintenance)

· Track requests sent and information received (sustainability or maintenance)

· Follow-up with tenants on information requests sent (sustainability or maintenance)

· Related special projects, as requested.

AVID Coordinator, Daily

· Work with Operations Manager and AVID Administrator to clear system exceptions (duplicates, to vendor errors, AVID indexers, etc.) on daily basis.

DocuSign Coordinator, Daily

· Work with Operations Manager to coordinate document signature efforts between Unire Real Estate Group and vendors / clients.

WRIKE Coordinator, Cyclical (~April-June and ~October- December)

Work with WRIKE Administrator to launch each property’s Budget and Reconciliation process to responsible team members, according to schedule developed by WRIKE Administrator.

TENANT GIFT Coordinator (October – December)

· Work with Property Manager Leads to determine year end tenant gifts, specific to each client.

· Coordinate tenant / gift count with Property Managers

· Coordinate scheduling of delivery with Property Management Leads

· Calculate invoice allocation, according to gifts purchased, per client.

Job Type: Full-time

Pay: $24.00 – $26.00 per hour

Expected hours: 40.00 per week
