Full Job Description

Administrative Asst III – Performs advanced secretarial duties for program manager. Assists in dissemination of information to program staff and develops and modifies automated forms to improve staff efficiency. Collects and compiles information from a variety of sources to complete budget, workload, and other administrative reports; maintains accurate statistics, leave and travel records; receives and relays messages. Files personnel records, handbooks, correspondence, reports and other material. Completes other general office clerical responsibilities as assigned.

Essential Job Functions:

Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.

Communicates on an intermediate level with others (internally or externally) to provide, exchange, or verify information, answer inquiries, address issues, or resolve/report problems or complaints.

Opens, dates, sorts, or distributes mail (for example, incoming/outgoing mail, reports, documents, printouts).

Prepares and proofreads correspondence, forms, or other documents (for example, letters, memos, travel or purchase vouchers, job announcements) using a personal computer.

Enters data into an automated system.

Orders and maintains inventory of various items (for example, supplies, forms, furniture, and equipment).

Prepares intermediate level ongoing or special narrative or statistical reports.

Maintains confidential records, files, or logs (for example, administrative, personnel, contract, correspondence, forms, documents, purchasing, case files, tracking logs) including filing, retrieving, or purging.

Provides intermediate level technical assistance to others (for example, staff, contractors, volunteers, administrators, facility owners) on policies, procedures, rules, regulations, standards, or requirements.

Arranges travel for staff (for example, hotel, transportation).

Maintains time and leave records.

Maintains calendar for assigned staff or area.

Performs administrative or support work for assigned area (for example, drafting correspondence/documents, tracking assignments, completing forms/reports, explaining rules/procedures).

Schedules meetings, training sessions, or tests by contacting staff and scheduling dates, times, or facilities.

Knowledge Skills Abilities:

Knowledge of office procedures.

Knowledge of the use and application of Outlook, Word, and Excel.

Knowledge of spelling, punctuation, grammar and arithmetic.

Ability to understand and carry out moderately complex oral and written instructions.

Ability to make minor decisions using rules and regulations as they apply to work problems.
