POSITION OVERVIEW
As a core member of our team, the Client Engagement and Administrative Coordinator plays a crucial role in ensuring clients receive the highest level of service and support. This position blends administrative excellence with meaningful client engagement, contributing directly to our client-first approach.
You will be responsible for executing client communications, appreciation events, advisory boards, and client engagement initiatives, all while maintaining an exceptional client experience. Success in this role requires strong attention to detail, the ability to anticipate needs, and a natural ability to prioritize and re-prioritize tasks in a fast-paced environment.

ESSENTIAL RESPONSIBILITIES
Administrative Support & Coordination (60%)
Provide reliable, detail-oriented administrative support, ensuring accuracy and efficiency in all client-related tasks.
Maintain and update client data in Redtail CRM, ensuring timely follow-ups and accurate records.
Process and track compliance requests, ensuring precision and timeliness.
Organize client appreciation efforts, including tracking and coordinating gifts, cards, and meaningful touchpoints.
Coordinate select scheduling and logistics for the Senior Managing Director (SMD), manage SMD calendar including travel arrangements, appointment confirmations, and continuing education (CE) tracking.
Organize and execute special events, such as holiday dinners, photoshoots, and client-facing engagements.
Support ad-hoc administrative and client engagement projects, contributing fresh ideas and ensuring smooth execution.
Client Engagement (40%)
Oversee all aspects of client appreciation events, ensuring seamless execution from planning to follow-up.
Support the development and execution of Client Advisory Boards, including scheduling, content planning, and post-event engagement.
Assist in executing client engagement strategies, utilizing technology and creative communication methods.
Maintain and update website content, blog, and digital materials to enhance client relationships and showcase thought leadership.
Collaborate with leadership and compliance to create and distribute client-centric communications (newsletters, webinars, digital events).
KNOWLEDGE, SKILLS, and ABILITIES
Education
Some college coursework completed or a degree in Business Administration, Communications, Marketing, Finance, or a related field preferred.
Professional certifications related to client engagement, administrative support, or event coordination would be a plus.
Experience
Financial Services or Professional/Advisory Services experience, with a strong focus on delivering personalized, high-quality service in a client-facing capacity.
Proven experience in event coordination, CRM management, and client communications.
Strong organizational and communication skills, with the ability to actively listen, ask thoughtful questions, and clearly articulate ideas in writing and conversation, adapting to diverse client needs.
Experience in coordinating and executing client appreciation events and initiatives, handling all logistics, planning, and follow-up to ensure a seamless and impactful experience, while supporting leadership with overall event strategy.
Strong project management skills, with a proven ability to quickly adapt, reprioritize tasks, embrace change, meet deadlines, and communicate proactively.
Familiarity with CRM systems, particularly Redtail CRM, for maintaining accurate records, tracking interactions, and ensuring timely follow-ups.
Experience using email campaign tools (e.g., MailChimp), content management systems (e.g., Twenty Over Ten), and document management tools (e.g., Adobe Acrobat, DocuSign).
PAY TRANSPARENCY STATEMENT (Colorado)
The annualized base salary range for this position is $53,000 – $85,000 USD ($25.48 – $40.86 hourly). Compensation will be determined based on factors such as relevant experience, skills, and qualifications.
