About the Role
Infrastructure Engineering Inc. (IEI) is looking for an Administrative Assistant I to join our Team! We are a leading engineering firm known for quality and responsiveness and a proven track record of success as a Prime civil engineering firm. The Administrative Assistant I role will support the Administration Department.

Essential Duties/Functions and Responsibilities:
Arranging staff meetings and scheduling appointments
Answering or transferring phone calls and taking messages for select staff members
Maintaining the office calendar
Writing memos, correspondence, invoices, receipts, spreadsheets and other reports as needed
Keeping the office database and filing system up to date and organized
Working with office equipment vendors to purchase and maintain office equipment such as printers and fax machines
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Contribute to team effort by accomplishing related results as needed
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Develop and update administrative systems to make them more efficient
Reply to email, telephone or face to face enquiries
Research and creates presentations
Generate reports
Handle multiple projects
Assists Design and Office Managers as requested and defined
Education and/or Experience:
High School Diploma or equivalent; and bachelor’s degree a plus
5-7 years of administrative experience
Knowledge and Skills:
Strong leadership skills
Excellent written and verbal communication
Experience with various forms of office software and equipment
Able to write reports and presentations
Good interpersonal skills
Ability to work with staff across multiple departments
Ability to work with budgets and create spreadsheets
Other Qualifications
Responsible for confidential and time sensitive material. Familiar with office and administrative project management. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
