Primary Services is actively recruiting for an experienced Administrative Coordinator for a large and well-established organization. This role provides direct support to senior leadership and a sizable operations team, offering a dynamic environment where attention to detail and efficiency are highly valued. The position is ideal for a polished professional with strong administrative experience looking to contribute at a high level within a structured corporate setting.

Responsibilities

  • Provide direct administrative support to the Vice President of Operations and a team of 17 professionals.
  • Process invoices using SAP and internal workflow systems.
  • Coordinate domestic and international travel arrangements, including itineraries and logistics.
  • Prepare and submit detailed expense reports in a timely manner.
  • Schedule meetings, reserve conference rooms, and coordinate catering as needed.
  • Develop and maintain organizational charts using Visio.
  • Submit and track IT service requests for team members.
  • Maintain calendars, ensuring alignment across leadership schedules and priorities.
  • Assist with documentation, reporting, and general administrative tasks to support operational efficiency.

Qualifications

  • Bachelor’s degree preferred or equivalent professional experience.
  • Minimum of 5 years of administrative or executive support experience in a corporate environment.
  • Proficiency in SAP and workflow-based invoicing systems.
  • Advanced skills in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Experience using Microsoft Visio for organizational chart creation.
  • Demonstrated ability to coordinate complex travel arrangements, including international travel.
  • Experience preparing and managing expense reports.
  • Familiarity with IT ticketing or request systems.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
