We’re seeking an organized, tech-savvy Front Office Coordinator who can also assist with inventory coordination to join our growing team.
Job Description:
As the Front Office Coordinator , you’ll be the backbone of our office operations – managing customer interactions, scheduling service calls, and ensuring our technicians have the parts they need. You’ll use House Call Pro daily to optimize our field operations while maintaining our inventory system and supplier relationships.
Key Responsibilities:
Customer Service & Scheduling:
– Professionally answer and direct all incoming calls
– Schedule and dispatch technicians using House Call Pro
– Confirm appointments and update job statuses in real-time
– Greet walk-in customers and handle service inquiries
– Process payments and generate invoices
Inventory & Supply Management:
– Monitor and maintain inventory levels of plumbing parts and supplies
– Place orders with suppliers and track deliveries
– Receive and verify shipments against purchase orders
– Organize and maintain inventory storage area
– Communicate with technicians about part availability
– Research and compare suppliers for best pricing/quality
Administrative Support:
– Maintain accurate customer and job records
– Assist with accounts payable/receivable as needed
– Order office supplies and maintain reception area
– Support owner with special projects as needed
Qualifications & Skills:
– Experience in office administration (service industry preferred)
– Proficiency with field service software (House Call Pro, ServiceTitan, etc.) highly valued
– Experience with inventory management systems
– Strong communication skills for customer and supplier interactions
– Excellent organizational and problem-solving abilities
– Basic math skills for inventory counts and order calculations
– Ability to lift up to 30 lbs (for receiving shipments)
Job Type: Full-time
Pay: $18.00 – $20.00 per hour
Expected hours: 30 – 40 per week
Schedule:
Monday to Friday
No weekends
