We're looking for an enthusiastic and dedicated Administrative Coordinator to support senior leadership at our headquarters. In this role you will be the go-to point of contact for the company owner, controlling the pace of their day and keeping them organized, up to date, and helping them increase productivity.

Key Responsibilities

  • Anticipate needs, manage follow-ups proactively, and ensure nothing falls through the cracks.
  • Manage a high-volume calendar: coordinating schedules, arranging air and ground travel, and booking reservations.
  • Work with accounts payable to help process invoices, make payments, and write checks.
  • Manage incoming calls, faxes, correspondence, and vendor communications with professionalism.
  • Serve as liaison between the executive and directors across multiple divisions.
  • Provide occasional after-hours support for urgent situations (travel disruptions, security matters, etc.)
  • Maintain strict confidentiality regarding company operations.

Qualifications

  • Prior experience in an administrative support role preferred.
  • Energetic and positive personality that always demonstrates a proactive work style.
  • Proficient in Microsoft Office and Google/Outlook calendars
  • Experience handling financial documents including AP, invoices, and check writing.
  • Strong written and verbal communication.
