Position Description
Position Summary
Provide high-level administrative support for the Office of the Provost, including Faculty Development, including maintaining systems to advance productivity, managing calendars (including scheduling and prioritization of appointments), managing departmental e-mail accounts, greeting visitors, answering phone and e-mail queries, and addressing routine questions.
Education Required
Associate’s degree or equivalent experience

Bachelor’s Degree
Experience Required
Two to three years of administrative support/project management experience.
Experience Preferred
At least one year of experience in higher education.

Ability to build relationships of trust within and across departments, including a demonstrated commitment to engage a diverse community

Primary Duties
Administrative Support
Provide general support for all aspects of the Offices of the Provost and Faculty Development including acting as the general receptionist, maintaining the office suite, ordering supplies, handling mail, composing correspondence, monitoring the Office of the Provost and Faculty Development email accounts, editing and proofreading documents, maintaining office files and personnel lists.
Coordinate travel arrangements and itineraries for staff and guests as needed.
Edit and refine websites.
Manage the renewals and payments of Provost area and Faculty Development operating contracts and subscriptions and provide OneSource and P-Card support as needed.
Maintain a well-organized and accessible digital filing system.
Event Management and Support
Advertisements, space reservations, refreshments, guest travel/lodging, communications, presentations and payments.

Faculty Programs and Specialized Support
Coordinate the maintenance of TT&P files including retrieval of student evaluations from Anthology, insertion of all materials into electronic files, correspondence with faculty and tracking of file status.
Monitor the University’s syllabus archive and manage processes to ensure the consistent and timely collection of both undergraduate and graduate course syllabi.
Coordinate tasks related to evaluation of faculty performance, including distribution and collection of Professional Development and Performance Report (PDPR) and administration of student course evaluations (via Anthology system).
Administer requests for ranked faculty Conference Participation funds.
Provide support for external grant applications and related activity reporting.
Coordinate communications and funding distribution for professional development funds for all ranked faculty in coordination with accounts payable.
Provide support for assessment of Faculty Development programs, including design and distribution of Qualtrics surveys and presenting data for follow-up reports.
Collect assessment reports for each grant and scholarship activity funded by the OFD, maintain a Grants and Sabbatical file for individual faculty members for reference by the Scholarship and Development Committee, and keep files of all funded applications.
Process necessary hiring and payroll forms for Smith Scholar and Teaching Interns.
Coordinate tasks related to New Educator on-boarding, including full-time and adjunct faculty Canvas site maintenance, website updates and program planning.
Gather data and manage information for Faculty Development annual reports, such as documentation associated with faculty scholarship.
Maintain consistent and reliable attendance.
