Summary of responsibilities
This position provides customer service support to the advisor’s clients and assists with administrative support in the day-to-day operations of the firm.

Principal responsibilities

Handle phone calls from clients, when appropriate; transfer calls to advisor, when required.
Schedule meetings with clients utilizing our annual review system.
Track pending business paperwork; update pending business summary worksheet for outstanding documents; monitor and follow up on all outstanding work weekly.
Regularly review Commonwealth news items, technology updates, and e-mail communications; report pertinent information back to advisor
Database management, including monitoring client workflow, maintaining distribution groups and basic data integrity and maintenance using CRM system.
Make recommendations to systematize and improve office functioning.
Maintain up-to-date organized client files, including copies of all signed applications and forms, according to Commonwealth’s Compliance requirements.
Maintain appropriate turnaround time on incoming items (e.g., 24 hours for checks).

Required knowledge/skills/competencies

BA or BS preferred
Five years’ experience in an administrative role or three years of experience in the investment/insurance industry; experience working with National Financial Services (NFS) processes and forms a plus
Exceptional customer service experience
Proficiency with computer programs, including MS Word and Excel, CRM, Wealthscape℠, and Morningstar®
Ability to interact with people across all levels of the business
Attention to detail
Ability to effectively prioritize workload and meet deadlines
Sophisticated organizational skills, including physical resources (such as files, manuals, etc.) and nonphysical resources (such as calendars, appointments, events, client contact records, images, etc.)
Familiarity with basic marketing concepts and practices

A self-starter who can work independently

Job Type: Full-time

Pay: $45,000.00 – $50,000.00 per year
