Job Summary:

The Special Assistant to the CEO provides comprehensive administrative and strategic support to the Chief Executive Officer (CEO). This position is responsible for supporting the CEO. They will serve as a thought partner and assist in the overall success of the office by supporting and leading internal and external initiatives as directed by the CEO. The Special Assistant to the CEO will also manage all calendaring and scheduling. They will facilitate effective communication and assist in executing strategic initiatives. The Special Assistant will also collaborate closely with the Director of Board Operations and Strategic Initiatives, ensuring optimal alignment with the Foundation’s strategic priorities.

Essential Functions:

Serve as a liaison between the CEO and internal/external stakeholders to foster effective communication and relationship-building.
Provide strategic support for the CEO’s initiatives, including research, project management, and stakeholder engagement.
Manage special projects assigned by the CEO, ensuring timely completion and adherence to quality standards.
Coordinate with the Director of Governance Relations and Strategic Initiatives to facilitate seamless communication between the CEO’s office and Board Members, Committee Chairs, and other stakeholders.
Ensure the CEO’s engagement in Board-related activities aligns with Foundation objectives and best governance practices.
Work closely with the Director of Board Operations and Strategic Initiatives to align CEO priorities with Board engagement and governance activities.
Provide high-level administrative support to the CEO, including scheduling, correspondence, and document preparation.
Manage the CEO’s calendar to ensure strategic alignment with key organizational priorities, including scheduling meetings, coordinating travel arrangements, and handling related logistics.
Act as a gatekeeper for the CEO, ensuring appropriate prioritization of meetings, calls, and requests for time.
Draft, proofread, and edit communications, reports, and presentations for the CEO.
Provide administrative support for Foundation events, including Board meetings, retreats, and strategic planning sessions.
Ensures streamlined communication and scheduling practices.
Manage confidential and sensitive information with professionalism and discretion.
Requirements:

Minimum Required Education, Knowledge, & Experience:

Bachelor’s Degree preferred or related experience and demonstrated performance required.
Experience in Higher Education and/or nonprofit fundraising strongly preferred.
Experience working with Senior Leadership Teams.
Proven ability to manage confidential information with discretion and professionalism.
Strong organizational skills with the ability to manage multiple priorities effectively.
Exceptional written and verbal communication skills.
Demonstrated experience supporting senior executives with calendaring, travel coordination, and administrative tasks.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other project management tools.
