Key Responsibilities:

Sales Supports & Operations

  • Provide end-to-end administrative, operational, and coordination support to the Commercial and Sales teams, ensuring smooth execution of the sales cycle from lead qualification to order fulfilment, while enhancing customer experience and internal efficiency.
  • Serve as a key point of contact between the Sales and Customer Service Departments.
  • Respond professionally to sales-related inquiries via telephone, email, and other communication channels.
  • Maintain and update CRM systems, sales tracking tools, and other internal/external databases to ensure data integrity.
  • Collaborate with cross-functional internal departments to resolve customer issues and enhance the overall customer experience.
  • Generate formal quotations and manage sales-related documentation in compliance with company policies.
  • Monitor shipment statuses and act as a coordinator between the Warehouse, Sales team, and Buyers to resolve any order-related discrepancies.
  • Proactively identify process gaps and propose streamlined solutions to optimize sales operations.
  • Assist in the preparation of sales decks, case studies, product sheets, and other marketing collateral.
  • Assist with the execution of marketing campaigns, including email blasts, newsletters, and digital marketing efforts.
  • Assist the procurement team with supplier invoice processing and maintain systematic purchasing records and filings.
  • Support Accounts Receivable management and assist in the preparation of sales forecasts and budget outlooks.

General Administration

  • Oversee day-to-day office operations, including coordination with the landlord and supervision of facility services such as cleaning and maintenance.
  • Manage the procurement and inventory of office supplies, including stationery, pantry items, and beverages.
  • Provide administrative support for ongoing projects, including managing visa applications and coordinating travel arrangements (flights, hotels, rental cars).
  • Serve as the primary liaison for regional IT support, managing local IT assets and coordinating technical assistance for the team.

Requirements:

  • University degree required.
  • Minimum 2 years of experience in Sales Support or Administrative role is preferred.
  • Fresh graduates with strong potential are welcome to apply.
  • Proficiency in CRM tools (Salesforce) and MS Office Suite (Excel, Word, PowerPoint).
  • Strong ability to utilize reporting tools for data analysis.
  • Excellent verbal and written communication skills in English.
  • Strong coordination and interpersonal skills, with the ability to work effectively across diverse teams and cultural environments.
  • Highly proactive with the ability to work independently and manage multiple tasks simultaneously.
  • Exceptional organizational skills with a high level of accuracy and attention to detail.
  • Ability to perform effectively under pressure and achieve targets within deadlines.
