Frazer, a leading builder of emergency medical vehicles, is currently seeking anAdministrative Coordinator, Salesto join our team. TheAdministrative Coordinator, Salesat Frazer reports to theSales Operations Manager, and is responsible for providing essential administrative support and coordination to facilitate the daily operations of the sales and marketing teams.

What Does a Week in the Life of the Administrative Coordinator, Sales Look Like?

Provide comprehensive administrative support for members of both the sales and marketing teams.

Act as the primary point of contact, extending a warm welcome to scheduled and drop-in customers, vendors and visitors.

Serve as the gatekeeper, ensuring that visitors are directed appropriately and inquiries are addressed promptly.

Oversee dedicated conference room scheduling, readiness, and supplies.

Act as a point of contact for department activities and ensure a secure and organized office environment.

Handle UPS sales account activities, including label generation and document tracking.

Administer Sharpspring leads, distributes weekly customer experience survey emails, and assists with various sales-related tasks.

Perform data entry, and utilize Syteline lookup for information retrieval.

Maintain and update data analysis spreadsheets and customer management databases.

Record and report AMD data, manage shipments, and maintain analytics for marketing.

Assist in creating internal and external reports and presentations.

Support meeting scheduling and materials preparation for team members, including catering or restaurant reservations as needed.

Maintain shared drive(s) organization.

Maintain directories for dealer partners, chassis dealers, vendors, sales and marketing teams.

Support scheduling of individual and team meetings, agenda preparation, site reservations, slides, minutes, and action items.

Assist in scheduling customer meetings on-site and off-site in coordination with the sales and marketing teams.

Manage license applications, tracking, and renewals across states of operation.

Provide administrative support to salesperson(s) and manager(s) in the preparation and submission of Bids.

Foster collaboration between sales and marketing teams for seamless coordination on shared projects.

Undertake diverse tasks and projects as assigned, showcasing flexibility and adaptability to support the dynamic needs of both departments.
