Overview: We are seeking a highly organized, detail-oriented, and motivated individual to join our team as an Operations Manager and Real Estate Personal Assistant with strong administrative, financial, and operational management abilities. This hybrid role involves overseeing property management and construction operations while providing direct support to our real estate agents. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and adapt seamlessly to diverse responsibilities. This is an on-site position, with regular opportunities to travel across Florida for events. As part of our growing social media presence, candidates should be comfortable on camera and prepared to contribute to our influencer profile.
Key Responsibilities:
Property Management and Construction Oversight Tenant Relations: Process applications, onboard tenants, address maintenance issues, and manage deposit and eviction processes.
Property Maintenance and Cleaning: Schedule cleanings, onboard cleaning teams, and manage property readiness for tenants or showings. Project Management:
Plan and execute renovations, oversee labor and materials, liaise with contractors, and ensure timely completion of projects. Owner and Property Onboarding:
Coordinate owner interactions, complete onboarding checklists, and ensure properties are ready for revenue generation.
Administrative and Personal Assistance Support Real Estate Agents:
Manage schedules, coordinate appointments, prepare contracts, and maintain client files. General Office Duties: Answer calls, manage correspondence, and handle office logistics.
Financial Management: Oversee accounts payable/receivable, reconcile bank statements, prepare financial reports, and assist with budgeting and forecasting. Vendor and Accountant Coordination:
Work with external professionals to maintain financial compliance and operational efficiency.
Social Media and Marketing: Collaborate with the marketing team to maintain an active presence on social media platforms (Facebook, Instagram, YouTube, LinkedIn). Be featured regularly on camera for videos, live events, and promotional content. Engage with audiences to enhance the company’s social media visibility and performance. Team and Process Management Recruit, onboard, and train team members. Conduct daily task reviews and weekly meetings to track progress. Use systems such as Zoho, QuickBooks, and Buildium to optimize workflows and track tasks. Evaluate processes to identify and address inefficiencies or gaps.
Education and Experience: High school diploma or equivalent; bachelor’s degree in business, finance, or a related field preferred. Proven experience in property management, construction, or real estate administration. Bookkeeping expertise, including proficiency with QuickBooks and financial reporting.
Licensed Florida real estate agent preferred- but not mandatory. Technical Skills: Proficiency in task management and CRM platforms (e.g., Zoho, Buildium, QuickBooks). Knowledge of social media platforms and video creation is a plus. Familiarity with systems like MLS, PriceLabs, and Zapier.
Soft Skills: Exceptional organizational skills and attention to detail. Strong written and verbal communication. Ability to multitask and work effectively both independently and in a team. Additional Requirements: Valid driver’s license and reliable transportation. Comfortable being filmed and participating in social media content creation.
