Position Overview: The Executive Assistant provides high-level administrative support to the CEO of Annie Malone Children and Family Services. This role is pivotal in managing the CEO’s dynamic schedule, streamlining communications, coordinating logistics, and ensuring the smooth operation of daily activities. The ideal candidate is highly organized, proactive, and thrives in a fast-paced nonprofit environment dedicated to making a meaningful community impact.
Key Responsibilities
Executive Support
Manage the CEO’s calendar, including scheduling meetings, appointments, and arranging travel.
Screen and prioritize heavy volume of incoming communications, such as emails and phone calls.
Conduct daily briefings with the CEO to review priorities, emails, and key updates.
Draft and send communications on behalf of the CEO, ensuring accuracy, professionalism, and consistency.
Set up and launch virtual or in-person meetings, including managing all necessary technology.
Attend meetings with the CEO, take detailed minutes, and ensure follow-up on action items.
Prepare agendas, reports, and presentations for meetings and events.
Event Coordination and Logistics
Assist in planning and executing agency-hosted events, community initiatives, and fundraising galas.
Coordinate catering and food orders, including arranging pickups and deliveries.
Provide on-site logistical support at events, including photography and behind-the-scenes coordination.
Board and Committee Liaison
Organize and support Board of Directors meetings, including preparing materials, taking minutes, and tracking follow-ups.
Serve as the primary point of contact for Board members, ensuring effective communication.
Fundraising and Special Projects
Support the CEO in planning and executing fundraising events, donor relations, and grant-related activities.
Track key milestones and deadlines for fundraising initiatives.
Assist with the implementation of strategic goals and manage special projects as assigned.
Administrative Operations
Maintain organized records and filing systems, handling sensitive information with discretion.
Develop and implement office procedures to enhance efficiency.
Act as a liaison between internal teams and external stakeholders, ensuring seamless communication.
Qualifications
Education and Experience:
Minimum: Associate’s degree in business administration, nonprofit management, or a related field.
Preferred: Bachelor’s degree in business administration, nonprofit management, or a related field.
Minimum of 5 years of experience as an Executive Assistant, ideally within a nonprofit organization.
Skills and Competencies:
Exceptional organizational and time-management skills, with the ability to manage multiple priorities.
Outstanding written and verbal communication skills, including proofreading and editing.
Proficiency with tools such as iPhone, Zoom, Microsoft Teams, and Canva.
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with donor databases or CRM systems.
Ability to handle sensitive information with professionalism and confidentiality.
Self-motivated, adaptable, and collaborative in a mission-driven environment.
