Job Summary
We are seeking a highly organized and proactive Personal Assistant to support the business owner in both personal and professional capacities. This individual will handle a variety of tasks, including calendar management, errands, light housekeeping, business reporting, and analytics, ensuring smooth day-to-day operations and helping the business owner stay focused on strategic priorities. The ideal candidate will possess excellent communication skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain confidentiality while managing various administrative duties.

Part-Time Job: 10-12 hours per week/ in person and work from home (hybrid schedule)
This position is a 1099 contractor with a 90 day probationary period.
Tentative Start Date: 3/17/2025

Duties & Responsibilities

Coordinate and manage the business owner’s personal and professional schedules.
Schedule meetings, appointments, and events, ensuring there are no conflicts.
Send reminders and prepare any necessary materials ahead of appointments.
Run personal and business-related errands, such as shopping, dropping off or picking up items, and mailing documents or packages.
Ensure tasks are completed efficiently and within deadlines.
Perform light cleaning and organizing in the home or office (e.g., tidying up, managing supplies, and ensuring a clean, functional space).
Coordinate with professional services or maintenance providers when needed.
Assist with tracking and analyzing key business metrics.
Compile reports and provide insights to support decision-making.
Organize data, create spreadsheets, and present findings in a clear and actionable format.
Project support; updating tasks and timelines for business owners using Wrike and Outlook.
Act as a liaison between the business owner and vendors, clients, or team members if needed.
Handle confidential matters with discretion and professionalism.
Provide general administrative support, including answering emails or calls when needed.
Utilize Microsoft Office Suite for document creation, collaboration, and data management.
Assist in coordinating travel arrangements, including booking flights, accommodations, and itineraries.
Maintain home office supplies inventory and place orders as necessary to ensure smooth operations.
In a personal capacity, will also run occasional errands, do some grocery shopping

Requirements

Proficiency in Microsoft Office and Excel is essential.
Strong organizational skills with the ability to prioritize tasks effectively.
Demonstrated computer literacy with the ability to adapt to new software quickly.
Previous experience in an administrative or personal assistant role is preferred but not mandatory.
Ability to handle confidential information with discretion and professionalism.
A valid driver’s license and reliable transportation for errands.
Flexibility to adapt to changing priorities and responsibilities.

A typical week might look like this:
Monday: In person at my home office; light errands, light tidying, 1:1 coworking time to update all projects and timelines to set up schedule for the business owner for the upcoming week. 3 hours 9am – 12pm approximately
Tuesday: Work from Home day – create/update weekly and monthly reports with data and templates provided and email them to business owner by set time. 2 hours (flexible time)
Wednesday: In person at my home office and my business; Making coffee, light laundry (work uniforms for my team usually); checking personal and office mailboxes, organizing mail and filing documents, light housekeeping task such as vacuuming common area rug and taking out the trash. 3 hours 8:30am-11:30am
Friday: In person at my home office and/or my business; home office file maintenance, calendar maintenance, possibly light bookkeeping; data entry or typing up documents; updating project task dates and timelines based on progress. 2-3 hours 1:30pm – 4:00pm (somewhat flexible and possibly a hybrid day)
Sunday: 1x per month set up and organize a small dinner party or bookclub meeting for myself and a few of my close professional friends. This will include tidying up before and after, possibly prepping light appetizers, decorating as instructed, refilling snacks and drinks. This could be at my home or at my work depending on event. 2-3 hours 5pm – 7pm.

I own a busy growing bakery and our PA would also be entitled to a 20% employee discount.

Job Type: Part-time

Pay: $18.00 per hour
