About The Role

The American Heart Association is seeking a dedicated and detail-oriented Strategic Initiatives Coordinator for Clinical Studies. This full-time, benefits-eligible position offers the flexibility of a home-based work environment, with a preferred location in the eastern time zone. The role is grant-funded with an initial duration of approximately one year, with potential for extension based on funding and organizational needs. The Coordinator will play a vital role in supporting the Clinical Studies Team by managing administrative tasks, coordinating projects, and facilitating communication with internal and external stakeholders. The individual will work independently, demonstrating strong organizational and project management skills to ensure the smooth execution of clinical research initiatives. This position provides an excellent opportunity for professionals interested in health research, project coordination, and contributing to impactful cardiovascular health initiatives.

Qualifications

  • Bachelor's degree in business administration, health sciences, or a related field (preferred)
  • Minimum of three (3) years of experience in administrative support or relevant roles
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and process management abilities
  • Experience with database management and software applications
  • Knowledge of business English, spelling, grammar, and punctuation
  • Ability to work independently with minimal supervision and as part of a team
  • Demonstrated problem-solving skills and attention to detail
  • Customer service orientation with excellent interpersonal skills
  • Experience in health-related fields is preferred
  • Ability to travel up to 10%, including local and overnight travel

Responsibilities

  • Provide administrative and personal support to the supervisor, including calendar management, scheduling, and meeting logistics
  • Plan, organize, and coordinate all aspects of meetings, including logistics, preparation, and follow-up
  • Prepare and distribute communications for internal and external stakeholders, ensuring professionalism and clarity
  • Serve as the primary point of contact for meeting inquiries, prioritizing requests and ensuring timely follow-up
  • Support the planning and coordination of virtual and in-person meetings, including booking venues, arranging technology, and preparing agendas
  • Take minutes during meetings and ensure action items are followed up on promptly
  • Manage and maintain all administrative and project documentation, records, and files
  • Track project milestones, deadlines, and deliverables using project management tools
  • Generate regular status reports for project teams and leadership
  • Coordinate communication with stakeholders, ensuring timely responses and clear information flow
  • Assist in the creation and maintenance of resource tracking tools and workflow documents
  • Identify opportunities to improve administrative and project processes for increased efficiency
  • Collaborate with Marketing and Communications teams to promote initiatives and activities
  • Support on-site meetings, conferences, and high-level volunteer engagements as needed
  • Anticipate and manage competing priorities, flagging issues and providing recommendations
