Job Summary
This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.
NATURE OF WORK
Under minimal supervision, supervises office support staff and performs legal secretarial duties; oversees the day-to-day functions of the legal secretary. This position has department specific responsibility.
Nature of Work
(Illustrative Only) Supervises, trains, and coordinates activities of clerical and support staff; provides training, instruction, and orientation to new employees; participates in interviewing and selecting new employees; maintains personnel files and time sheet records; determines work schedules; provides administrative and legal secretarial support to senior attorneys; schedules appointments and meetings; maintains attorney and court calendars; provides input for budget preparation; prepares statistical and financial reports of grant fund expenditures; ensures accurate and smooth paperwork flow to and from department; plans, coordinates, and evaluates the functions of the legal secretary and ensure deadlines are met; formats and types letters, memoranda, and various legal documents for the review, approval and use by an attorney; prepares and processes confidential and sensitive documents; assists in developing and implementing administrative and personnel policies and procedures; develops and implements procedures, operations, and special projects and programs; addresses complaints and develops feasible solutions using division, departmental and personnel rules and regulations; responds to inquiries and complaints from customers; regular and reliable attendance is required; performs other duties as assigned.
Experience and Education
High School Diploma or GED equivalent; thirty (30) semester hours of course work in business, public administration, or legal field; AND four (4) years of progressively responsible experience as a legal secretary, and two (2) years of supervisory experience; OR five (5) years of county legal office experience; OR an equivalent combination of education and experience. Requires successful completion of a background check
Knowledge, Skills and Abilities
Knowledge of: County policies and procedures; legal terminology, forms, principles and procedures; modern office practices and procedures; business English, spelling, punctuation, and grammatical usage; principles and practices of office administration and supervision; state civil and criminal law and judicial procedures; budgetary principles, practices and procedures.
Skill in: Planning, organizing and supervising the activities of assigned support staff; prioritizing work assignments to meet time constraints; using computers and advanced level software applications; performing advanced legal secretarial and administrative duties; communicating clearly and concisely, both verbally and in writing; establishing effective working relationships with employees and the public; maintaining confidentiality; meeting and dealing tactfully with the public.
Ability to: research and write detailed reports; read, write, and synthesize data and reports; use modern office equipment and computers; communicate effectively verbally and written; planning and organizing work; assigning and leading the work of others; lift up to 5 – 25 lbs; perform the essential functions of the job specifications with or without a reasonable accommodation.
Working Environment: The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking and 20% standing. The job is performed under minimal temperature variations and in a generally hazard free environment.

Medical Coverage Category
The YCEBT is a self-funded medical plan administered by BlueCross BlueShield of Arizona (BCBSAZ). The employee is able to select from three (3) medical plan options with six (6) tiers that will best suit the employee’s needs, dependents or families.
Plan Option 1: Preferred Provider Option A (PPO) or PPO A 1100 deductible. Employees who participate in the “Wellness Incentive” will receive a $30 monthly premium reduction by completing three steps.
Plan Option 2: Preferred Provider Option B (PPO) or PPO B 1,500 deductible. Employees who participate in the “Wellness Incentive” will receive a $30 monthly premium reduction by completing three steps.
Plan Option 3: High Deductible High Plan – Health Savings Account (HDHP-HSA) with a 1700 deductible. Employees who participate in the “ Wellness Incentive” will receive a $30 monthly premium reduction by completing three steps.
Employer contributes a total of $800.04 to employees Health Savings Account. If employees select Employee only and participate in the “ Wellness Incentive” employees can receive up to 360.00 contribution to a Limited Purpose FSA card to be used for medical or dental purposes.
Southwest Service Administrator (SSA) Mexico PPO Health Plan: SSA is available to employees who are enrolled in YCEBT Medical PPO Plan A and PPO Plan B. The SSA Plan pays 100% of hospital, medical, laboratory and prescription drug benefits, to a maximum of $5,000 per person per calendar year ($10,000 for two or more family members).
