Role Overview
This part-time Office Administrator will ensure the office is well-maintained, organized, and equipped while coordinating with building management on maintenance issues. This role involves assisting with the onboarding process, organizing company meetings and events, managing office equipment and technology systems, and ensuring compliance with health, safety, and environmental regulations.
Additionally, the Office Administrator will handle post management and violation processing, performing clerical duties, supporting mail-related tasks, managing incoming postal volume, and overseeing the violations process. The role requires strong organizational and time management skills, attention to detail, proficiency in office equipment and computer applications, excellent communication, and the ability to work both independently and as part of a team. Reliability, proactivity, problem-solving skills, and a professional demeanour are essential.
Responsibilities
Office Management:
Ensure the office is well-maintained, organized, and equipped.
Coordinate with building management on maintenance issues.
Manage relationships with vendors, service providers, and landlord.
Assist in the onboarding process for new hires.
Help coordinate company meetings and events.
Manage office equipment and technology systems.
Ensure the building complies with all health, safety, and environmental regulations.
Conduct regular safety drills and inspections.
Post management and violation processing:
Assist with basic clerical duties, such as filing, data entry, and document preparation.
Support other departments with mail-related tasks as needed.
Lead and manage the incoming postal volume, sending through documents to relevant teams (e.g. finance,
insurance, risk etc)
Lead the violations process from London, Victoria, responsibilities including:
Scanning post to the payment processing team
Scan and extract speeding documents from relevant platforms
Complete speeding fines to be returned by post
Handle outgoing post, with specific attention to document recording
Ensure tracking documents are kept up to date and filled in accordance to team expectations
Requirements & Qualifications
Proven experience as an Office Administrator, Office Manager, or similar role.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Proficient in using office equipment and basic computer applications (e.g., MS Office).
Good communication and interpersonal skills.
Proactive and self-motivated.
Reliable and punctual.
Ability to work independently and as part of a team.
