State Agency Administration Assistant

Pay Range: $22-$25/hr

Job Summary

The Assistant to the State Agency Administrator provides high-level administrative and operational support to the State Agency Administrator. This position plays a crucial role in ensuring the efficient management of agency activities, handling sensitive information, coordinating schedules, managing communications, and facilitating interdepartmental coordination.

Key Responsibilities

Administrative Support: Provide comprehensive administrative assistance, including managing calendars, scheduling meetings, preparing reports and maintaining records.
Communication Management: Serve as a liaison between the Administrator and internal/external stakeholders, responding to inquiries and drafting official correspondence.
Project Coordination: Assist in planning and executing special projects, ensuring alignment with agency goals and policies.
Data & Document Management: Organize, track, and maintain important documents, reports, and agency records in compliance with state regulations.
Meeting & Event Coordination: Arrange meetings, prepare agendas, take minutes, and follow up on action items.
Budget & Expense Tracking: Assist with financial tracking, procurement, and budget management as needed.
Policy & Compliance Support: Ensure adherence to state policies and procedures by conducting research and maintaining up-to-date knowledge of regulations.
Office Operations: Support general office operations, procurement of supplies, and coordination of logistics for agency functions.

Qualifications & Requirements
Education: Bachelor’s degree in Public Administration, Business Administration, Political Science, or a related field (or equivalent work experience).
Experience: Minimum of 3 years of experience in administrative support, government operations, or a related field.
Skills:
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite and government database systems.
Ability to handle confidential and sensitive information with discretion.
Strong problem-solving and critical-thinking skills.
Preferred Qualifications:
Experience working in a government or public sector environment.
Knowledge of state agency policies and regulatory requirements.

Physical Requirements:
Will be assigned a workstation, computer terminal, and telephonic equipment in a regular office environment Must have good manual and finger dexterity, excellent verbal and written communication, hearing and visual acuity and color distinction. Must sit in front of a computer screen for prolonged periods of time.
