SUMMARY

The Administrative/Human Resources Assistant provides executive administrative support to the President & CEO, HR support to the Managers. Responsible for a wide range of administrative, executive and HR support related tasks and works independently with little or no supervision. Responsible for heavy calendar management, requiring interaction with both internal and external executives; organization and coordination of a variety of complex executive and Board meetings. Responsible for benefits processing and communications, new hire paperwork, monitoring training and liaison with HR consultant.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: (Other duties may be assigned.)

Administrative support to the Chief President & CEO
Responsible for heavy calendar management, requiring interaction with both internal and external executives, assisting and coordinating a variety of stakeholder meetings.
Responsible for benefits communication & processing, background checks and hiring processes including job postings; new hire paperwork; assist with employee benefits; update employee files; monitoring training; and liaison with HR consultant.
Liaison with Board of Directors to schedule meetings, send out packets, order meals, take minutes.
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
Communicate and handle incoming and outgoing electronic communications on behalf of management.
Provide follow up to assignments given to management staff by administrative office.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

B.A./B.S. plus five years experience supporting at the executive level. Excellent calendar management skills, including the coordination of complex executive meetings with direct experience in providing administrative support to executive level management. An equivalent combination of relevant education and experience may be substituted as appropriate. Knowledge of MS Office, including Word, Excel, Power Point and Outlook. Experience working with varied audiences – staff, Board, stakeholders, etc. Bi-lingual in English and Spanish preferred. Experience working in a non-profit organization environment helpful. Ability to work in a culturally diverse and fast-paced environment. High degree of confidentiality and trust.

LANGUAGE SKILLS

Bilingual in Spanish and English. Strong spoken (English and Spanish) and written (English) communication skills.

CUSTOMER SERVICE SKILLS

Ability to deliver high quality customer service and to work collaboratively across departmental lines. Good organizational skills with a pleasant personality. Excellent telephone switchboard skills.

MATHEMATICAL SKILLS

Strong aptitude in basic math; adding, subtracting, multiplying and dividing.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions.

COMPUTER SKILLS

Basic proficiency in Word, Excel, Outlook, DBase management and use of internal e-mail system.

CERTIFICATES, LICENSES, REGISTRATIONS

Employee must present proof of automobile insurance coverage. The minimum liability limits shall be $100,000 bodily injury and $25,000 property damage coverage or such limits as deemed appropriate by the Chief Executive Officer.
