Job Description
The role involves a broad range of administrative duties for the Institute for Security Policy and Law. Responsibilities include serving as the primary contact for students, faculty, and external parties via in-person meetings, phone calls, and emails. The position will manage the scheduling for the SPL and its Director, as well as assist in planning and promoting center activities. Duties also encompass coordinating space, liaising with vendors, organizing accommodations, and handling financial paperwork for payments and reimbursements. Additionally, the role involves supporting prospective, current, and recent students with course coordination, meetings, and record-keeping. Providing assistance to SPL faculty and staff, managing the certificate program, and engaging alumni are also key responsibilities of the position.
Education and Experience
Bachelor’s degree and/or an equivalent combination of education and experience is necessary.
Considerable experience (i.e., four (4+) plus years) in administrative capacity.
Higher education experience is a plus.
Requires high end project management skills, continuous attention to detail and excellent customer relationship skills.
Knowledge of SU processes and procedures with regard to financial processing and Registrar functions a large plus.
Ability to pivot often between tasks and able to work in an open environment necessary.
Skills and Knowledge
4 plus years’ experience in administrative roles within Higher Ed.
Prior experience within an admin role and event planning/management preferred.
Excellent interpersonal skills/ability to work collaboratively.
Proficient with MS Office/technology tools and desire to use Internet and social media to connect with ISPL CAS alumni.
Proficiency in supervision, program development, assessment, and conflict resolution are desirable.
Ability to develop relationships with departments within the College of Law and work effectively with others across campus.
Organized, detail-oriented, self-motivated, can multi-task in a deadline driven environment.
Strong sense of urgency as a daily work style.
Ability to work independently and as part of a team.
Exercise good judgment and think creatively.
Knowledge of University systems and structure highly desirable.
Maintain SPL CAS Grad records- processing forms (applications, petitions, final degree works program) electronically using university software platforms (i.e., Degree Works).
Triaging student inquiries, handling the most basic and elevating other issues to appropriate personnel.
Ensure published program info/materials are up to date, including maintaining course listings in MySlice, and handling time/room assignments.
Responsibilities
Provide high-level administrative support to the SPL Director, leadership team, and affiliated staff.
Serve as a professional/proficient first point of contact via phone, in-person interactions, and email correspondence.
Coordinate/manage calendars, appointments, travel arrangements, itineraries, and parking logistics for the SPL Director, Deputy Director, Managing Director, faculty members, and visiting guests.
Manage/prioritize correspondence, assist in hiring and supervising up to 10 graduate assistants, troubleshoot operational challenges, as needed.
Manage credit card reconciliation, reimbursements, requisitions, and IDs.
Liaison with budget offices in the College of Law and Maxwell School.
Monitor budget-related polices and update office procedures accordingly.
Act as the primary liaison for students, visitors, faculty, and other administrators regarding financial matters.
Assist in planning/managing SPL’s meetings and various events including speaker series, symposia, conferences, hosting foreign delegations, and receptions both on-campus and at external venues.
Coordinate with SU offices/external vendors regarding budgetary matters, account management, event logistics such as food services, and travel arrangements.
Assist in the develop of promotional materials and website content.
Support prospective and current students in planning their classes and collaborate with their respective home departments within the College of Law and Maxwell School to meet the requirements of SPL’s three Certificates of Advanced Study (CAS): National Security and Counterterrorism Law, Security Studies, and Post-Conflict Reconstruction.
Coordinate with the SU Registrar’s and Bursar’s offices to facilitate the registration of students into the CAS program within their chosen fields.
Monitor and maintain records of all SPL CAS students to ensure their eligibility for class submissions and fulfillment of program requirements.
Submit the final program of study to the registrar’s office upon students’ graduation and completion of certificate requirements.
Assist with updating syllabi, Blackboard sites, rosters and anonymous grading procedures for the Director, Managing Director, Deputy Director, and teaching professors affiliated with the institute.
Provide support to SPL visiting fellows, including the Senior Service Fellow assigned to SPL by the Army War College each year.
Provide administrative support in onboarding SPL’s cohort of research assistants.
Manage and maintain databases for SPL CAS recipients, alumni, and prospective students, ensuring accuracy and relevance.
Connect with alumni though LinkedIn and direct email.
Track networking, employment, and internship opportunities that connect students with SPL alumni.
