The ideal candidate will ensure the smooth operation of our offices by overseeing administrative and facilities-related tasks, driving efficiency, and improving processes. Strong attention to detail, excellent communication skills, and multitasking abilities are essential.
Position Overview
The Office Administrator ensures a productive work environment by managing office supplies, vendor relationships, legal conflict checks, and facility maintenance while supporting staff and enhancing operational processes.
Key Responsibilities
Office & Vendor Management
Oversee staff duties, workflow, and capacity.
Manage office supplies and inventory.
Coordinate vendor due diligence and maintain relationships.
Maintain required insurance policies.
Ensure staff notary licensing and attorney registrations are current.
Monitor staffing levels and workflow.
Identify and implement process improvements.
Facilities Management
Handle maintenance requests and coordinate repairs.
Oversee office furniture and equipment maintenance.
Coordinate office moves and buildouts.
Collaboration & Communication
Support office operations and staff needs in collaboration with HR.
Communicate effectively with all staff levels.
Qualifications
Bachelor’s degree or equivalent experience in office administration, facilities management, or related field.
Minimum of 3 years of experience in office or facilities management, preferably in a legal or professional services environment.
Process improvement and initiative-taking experience.
Knowledge of inventory and supply ordering systems.
Strong organizational, multitasking, communication, and interpersonal skills.
Proficiency in Microsoft Office Suite and office management software.
Ability to handle confidential information with discretion and professionalism.
Strong problem-solving skills and ability to work independently and as part of a team.
