This position provides administrative and operational support to the Engineered Wood Products team. This role involves coordinating project documentation, managing communications with clients and vendors, and ensuring smooth day-to-day operations within the department. The ideal candidate has strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Requirements:

Organize and maintain project files, including designs, specifications, contracts, and invoices.

Assist with order processing, ensuring accuracy and timely submission to vendors or suppliers.
Track project progress, deadlines, and materials to ensure timely delivery and completion.
Prepare and distribute project documentation, such as quotes, purchase orders, and change orders.
Serve as the primary point of contact for customers regarding project updates, order statuses, and inquiries.
Coordinate communications between the design team, sales team, contractors, and customers.
Address customer concerns or issues promptly and escalate them to the appropriate team member when necessary.
Monitor inventory levels for engineered wood products and coordinate with suppliers to ensure timely restocking.
Verify accuracy of shipments and invoices, resolving discrepancies as needed.
Maintain relationships with vendors and suppliers to ensure competitive pricing and reliable service.
Schedule and coordinate team meetings, project reviews, and training sessions.
Provide administrative assistance to the design team, such as formatting documents or preparing presentations.
Assist with data entry and reporting for department performance metrics, such as sales figures or project timelines.
Ensure department compliance with company policies and procedures.
Maintain and organize office supplies, design samples, and other resources.
Support other departments as needed, especially during peak project times.

WORKING CONDITIONS:

The work environment is office work with the occasional jobsite visit.

EDUCATION:

High school diploma or equivalent is preferred but not required.

SKILLS, KNOWLEDGE & ABILITIES:

Previous administrative experience, preferably in construction, building supplies, or a similar industry.
Proficiency with office software (e.g., Microsoft Office Suite) and the ability to learn industry-specific systems.
Strong communication and interpersonal skills for working with clients and team members.
Excellent organizational skills and the ability to manage multiple tasks and deadlines.
Familiarity with engineered wood products, building materials, or construction processes is a plus.
