STARTING HOURLY RATE: $29.09 – $30.42 (PLACEMENT DEPENDS ON SIMILAR EXPERIENCE HELD AND EDUCATION)

SUMMARY:
The Executive Assistant to the Superintendent is responsible for performing liaison activities and office management functions; maintaining meeting schedules and coordinating arrangements for Superintendent and Executive Team meetings; exercising discretion in effectively accomplishing highly skilled and complex tasks in support of the Superintendent and the Governing Board. The Executive Assistant to the Superintendent manages the daily functions of the Superintendent’s Office, requiring confidentiality in all matters.
ESSENTIAL FUNCTIONS
Serve in a liaison capacity between the Superintendent, Governing Board, and employees of the District and the public. Ensure that the Superintendent’s Office is responsive to the needs of all stakeholders.
Manage the Superintendent’s complex long-range calendar, make travel arrangements, and prepare meeting agendas.
Respond to inquiries requiring in-depth knowledge of District policies and procedures and office practices.
Manage administrative details independently or in consultation with the Superintendent.
Compose verbal, written, and electronic information on behalf of the Superintendent. Review and edit correspondence going out under the Superintendent’s signature.
Coordinate and assist in preparing reports, correspondence, Board agenda items, and other materials for the Superintendent.
Handle parent and community complaints and employee issues. Delegate duties as appropriate. Apprise the Superintendent accordingly.
Maintain strict confidentiality pertaining to personnel matters and all situations that escalate to the Superintendent’s Office.
Communicate with state, county, city agencies, and other school districts on behalf of the Superintendent and the Governing Board.
Manage budget, purchasing, and procurement for the Superintendent’s Office.
Attend District Governing Board meetings regularly.
Perform other duties as assigned.

REQUIRED QUALIFICATIONS
Education, Training, and Experience Guidelines:
High school graduate; combination of education and experience equivalent to completion of two years of college preferred.
Minimum of seven years related administrative, management or executive assistant experience providing high-level support for a senior executive or equivalent required.
License and Certification Requirements:
Possess a valid Arizona State Driver’s License.

Ability to maintain strict confidentiality of highly-privileged information required.
Must have an eye for detail, completeness, and accuracy of work product.
Excellent organization and prioritization skills.
Strong interpersonal skills, ability to establish and maintain rapport and positive relationships, and deal effectively and tactfully with all levels of people within and outside of the organization.
Strong writing/composition skills, verbal communication skills, and excellent telephone etiquette.
Ability to work effectively under pressure and manage multiple competing priorities and deadlines.
Must be proactive, take initiative, and be able to identify tasks to be completed and initiate without prompting.
Computer proficiency in Microsoft Office and Outlook is required.
Multilingual ability, Spanish fluency, a plus.
