We are seeking an Administrative Specialist to join our team and support the smooth functioning of our office.

In this role, you will handle a variety of administrative tasks, ensuring that operations run efficiently and facilities are well-maintained. If you are detail-oriented, organized, and enjoy working in a dynamic environment, we encourage you to apply.

Responsibilities

Conduct daily checks to ensure office supplies are stocked, facilities are clean, and workstations, meeting rooms, and pantry areas are fully operational

Monitor inventory levels for pantry items, office supplies, and copier paper, and place orders as needed to maintain stock

Oversee the scheduling of meeting rooms through Microsoft Outlook and ensure all spaces are clean and equipped with necessary materials, including functioning AV systems

Submit corporate card expenses and other financial documents through the company’s financial systems, such as Concur and CTC

Coordinate the printing of business cards and manage office decorations for festive occasions

Handle administrative tasks for new employees and visiting staff, including issuing access passes and onboarding-related tasks

Manage the DESK system by assigning, reserving, and blocking workstations as required

Collaborate with landlords to address office maintenance and repairs, ensuring compliance with health and safety standards

Oversee mail collection and distribution, and manage access cards and office keys

Support internal events and talks by organizing logistics, including food arrangements and dining supplies

Administer locker assignments and arrange courier services for important office documents

Ensure continuous functionality of essential office equipment

Requirements

At least 2 years of experience in an office administration or similar role

Strong organizational skills and the ability to manage time effectively in a fast-paced environment

Excellent communication and interpersonal skills to interact with team members and external vendors

Proficiency in Microsoft Office applications, particularly Outlook, and familiarity with office management tools

Ability to work independently and collaboratively within a team setting

Attention to detail with strong problem-solving capabilities
