Position Title: Administrative Coordinator
Reports To: Executive Director
Status: Hourly (permanent full time)
The Administrative Coordinator provides essential support to the United Way of South Central Nebraska team, ensuring smooth daily operations and contributing to our mission of improving lives in our community. This role coordinates traditional administrative duties with nonprofit-specific responsibilities, requiring both professional expertise and a passion for community service.
Administration and Management
1. Great Customer Service skills are a must.
2. Manage daily office operations, including answering phones, greeting visitors, handling correspondence, and maintaining office supplies and equipment.
3. Support the Executive Director and other team members with calendar management and meeting coordination.
4. Performs general clerical duties (copying, filing, mailing, compiling and tracking data, procuring office supplies, assembling information packets and other general clerical duties as needed).
5. Acts as Secretary to the Board of Directors. Types agendas and minutes and maintains all permanent record books for Board of Directors and Executive Committee.
6. Coordinate data collection, updates, protection, utilization, and application of information for donor management software.
7. Utilize proper cash handling processes, including managing petty cash.
Community Relations
1. Help increase awareness of United Way in Adams, Clay, Nuckolls, and Webster counties.
2. Support event planning and execution for fundraising events, donor recognition and community programs.
3. Take part in community activities representing United Way, as needed.
4. Collect and record data for the community impact projects.
5. Maintain Imagination Library registration with updates as well as promote to the community.
UW and Campaign Events
in conjunction with Executive Director:
1. Assist with coordinating United Way Events that include Annual Meeting, Campaign Kick-Off, Golf Tournament, and future identified events.
2. Prepare receipts and thank you letters for all donors as directed in a timely manner.
3. Update donor management software from local sources to maintain a current and accurate database.
4. Provide team support for all areas of the campaign including professionally representing United Way at campaign presentations and events.
5. Assists Executive Director by making campaign contacts and interacting with volunteers.
6. Communicates with donors as needed.
Marketing
1. Maintain website by updating as needed with current information
2. Ensure that regular posts on social media are completed at least weekly and at times daily.
3. Assist with the preparation of campaign, promotion materials, and events.
Finance
1. Monitor and complete campaign accounts, including corporate and employee pledges, direct bills, designations, and collections.
2. Ensure receipts and deposits are completely timely.
Other
1. Must be detail orientated and a self-starter.
2. Ability to work with community members with diverse needs and expectations in a welcoming and problem-solving manner
3. Work as a team member to fulfill responsibilities of United Way of South Central Nebraska.
4. To perform all other duties as assigned by the Executive Director.
Physical Demands
Physical demands include sitting and/or standing for extended periods of time, bending, lifting approximately 30 pounds on rare occasions, regular use of the telephone, copier, and computer. Reliable transportation required.
Experience:
· One to three years of administrative or non-profit experience in a similar capacity.
· From prior work experience(s), demonstrate the ability to work successfully in a dynamic team environment. Also demonstrate ability to provide excellent customer relations.
· Social Media management
Skills and Abilities:
· Excellent communications skills (i.e. written, verbal).
· Ability to work collaboratively as a team.
· Strong graphic design and marketing skills preferred but not required.
· Attention to detail.
· Strong technical writing skills.
· Computer literacy with Microsoft Office Suite, G-Suite, Canva and Publisher.
· Experience with mail merges required.
· Database management and report generation.
· Organize, prioritize and meet deadlines.
· Media, projector and Wi-Fi set up.
Job Type: Full-time
Pay: $18.00 – $22.00 per hour
