Pay

This position is a Non-Exempt position at pay grade 111.

Attendance

Non-rotating 40-hour work week, Monday – Friday, 8:00 am – 5:00 pm; must be available to work additional hours as needed.

Overview

The Human Resources Administrative Support III provides administrative support to the overall Human Resources (HR) management team and internal HR divisions.

Responsibilities

Provide excellent customer service both in-person and on the phone for internal and external City customers

Maintain front desk duties to include answering and routing incoming calls, directing customers to the appropriate department staff, responding to inquiries from external sources, and by being the first point of contact for the department

Coordinate creation of ID badges for new employees

Assist the HR Recruitment team in sourcing, screening applicants, developing candidate pools, closing requisitions, generating reports, and special recruiting projects

Process new hire employment paperwork, background check and pre-employment processing, and employment separation forms

Coordinate and assist with new hire orientation duties to include check-in, ID photos, onboarding paperwork, and distributing reporting instructions

Responsible for maintaining department records management and filing system (Laserfiche)

Must follow the department’s records retention schedule which includes the annual movement, storage, and/or destruction of records

Maintain document storage in an organized manner to include preservation and/or protection of the records from harm and researching and retrieving documents and/or files for various requests

Provide administrative support for HR divisions and assist with special projects

Complete employment verifications verbally and in writing based on departmental procedures utilizing the Infor HRIS system

Assist with reviewing and processing HR employment forms such as new hires and correlating information for onboarding on new employees

Assist with responding to requests for information

Process incoming and outgoing mail and documents (in-person delivery) for all HR divisions

Maintain the department’s conference room schedule and requests for meetings

Assist with departmental research, compile data, and gather data for annual audits

Assist with reviewing and processing HR employment forms as needed

Assist candidates with the candidate application process in-person, at job fairs, over the phone, etc.

Scan all recruitment files for the Recruitment team into Laserfiche

Assist the Recruitment team with preparation and participation at job fairs

May be asked to perform other duties as assigned

Qualifications

Requires an Associate Degree (AA/AS)

Minimum of two (2) years of experience

A combination of education and pertinent experience may be considered

A valid driver’s license is required; successful out-of-state candidates must be able to obtain a valid Texas driver’s license within 90 days of hire
