Your Specific Responsibilities:

This is a highly responsible position serving as an Administrative Assistant for Indian River County Health Department. The incumbent in this position must provide support to Administration and departments as assigned as well as carry out the duties of personnel liaison as outlined by the Department of Health Bureau of Human Resources Management (DOH HRM). The position will provide daily administrative support to the senior management team. This position also assists staff, supervisors and management with administrative functions, as assigned. Work involves assignments which are broad as to objective and content and require independently making decisions and obtaining solutions by operating within well-established policies, laws, rules and guidelines. Assists Administration and the HR Hub as requested. Uses knowledge of quality improvement (QI) methods and processes to work with other staff to help identify opportunities for improvement and develop a culture of quality within DOH-Indian River; assists in improvement projects, as assigned.

Administrative Responsibilities: Serves as receptionist for Administration at front desk greeting, assisting and routing clients and visitors in person and answering and assisting incoming calls to and from clients and staff; provides general administrative support with day-to-day functions and projects for the senior management team.

Personnel Liaison: Ensures personnel actions and other documents are sent to and received from HR Region Lead Office. Provide technical assistance to staff and supervisors on FL Health Desk and People First as appropriate.

Required Knowledge, Skills, and Abilities:

Knowledge of administrative principles and practices. Knowledge of office procedures and practices. Knowledge of the principles and techniques of effective communication. Ability to prepare correspondence and administrative reports. Ability to work independently. Ability to communicate effectively in both written and oral communication. Ability to establish and maintain effective working relationships with others. Ability to maintain 100% confidentiality. Ability to type at least 40 WPM. Ability to take minutes at a variety of meetings. Knowledge of customer service, data entry, proofreading. Proficient in Microsoft Office programs.

Qualifications:

Minimum:

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
Associates degree from an accredited college or university AND one year of administrative experience, OR 3 years of administrative experience.
Experience using Microsoft Word, Excel, PowerPoint, and Outlook.
1 year of Customer Service Experience.
At least four years of combined experience in administrative and customer service experience.

Preferred:

HR experience.
