Overview:
The Administrative Assistant is responsible for the for organizing and maintaining the front of house business office and serves as assistant to the team.
Duties and Responsibilities:
Working Hours: Monday-Friday; 9:00am to 5:00pm, with appropriate breaks. Occasional weeknights and weekends, as needed.
Maintain office services
Organize front office operations and procedures
Control correspondences
Answer and field phone calls
Receive and scan mail/packages
Review and approve office supply requisitions
Liaise with other agencies, organizations and groups
Maintain office equipment & daily office supplies
Assist team members as needed
Cut or order podium stickers – Cricut
Maintain video packages – upload client videos
Assist with travel accommodations
Internal event planning
Ensure producer kits are stocked and packed
Maintain office records
Ensure filing systems are maintained and up to date
Maintain procedures for record retention
Ensure protection and security of files and records
Ensure effective transfer of files and records
Transfer and dispose of records according to retention schedules and policies
Liaise with HR to write and maintain internal policies
Review contractor interest forms and send Lasso link
Maintain efficiency
Maintain and replenish office inventory
Verify receipt of supply & orders
Generate & distribute all requests for Certificates of Insurance
Manage and maintain DOT files and programs
Completion of additional duties as assigned.
