The Service Admin role is an integral part of the Infrastructure and Operation Services (RunOps) function within WBA Digital & IT Solutions (Ireland) Ltd. (referred to as D&ITS).

This role will predominantly support the RunOps team through key administrative activities such as documentation management, scheduling, meeting support, note taking and service delivery support that will help the team stay organized and operating like a well-oiled machine.

Reporting to the D&ITS’s Service Lead and working with a global RunOps organization, the ideal candidate will be a highly motivated and driven individual who will take initiative to execute on an array of administrative tasks.

The Service Admin will also provide support to ITIL processes owned by the RunOps service team as needed. General knowledge of project management and service delivery would be helpful for this role.

This is a hybrid position based in our Dublin 2 offices.

What you will do:The Service Admin’s key responsibilities will be to:

Perform various administrative tasks, including but not limited to managing documents, organising records and updating databases.

Using MS Excel and other tools, conducting deep dive analysis of IT applications and searching out efficiencies in IT practices and processes

Deliver presentations to peers on analysis findings and recommendations.

Provide meeting support by attending meetings, taking accurate minutes, distributing meeting agendas and following up on open action items to ensure timely resolution.

Maintain and organise IT-related evidence, including incident reports, change records, and service requests, ensuring accurate and timely retrieval upon request.

Coordinate and manage calendars, schedule appointments, arrange meetings and ensure all necessary resources are available.

Detailed Responsibilities:

Provide general administrative support to the RunOps team, including assisting in the preparation of reports, presentations, and other relevant materials.

Conduct research and gather information as required for projects, presentations, or other departmental needs.

Conduct deep dive analysis and using MS Office suite to present to stakeholders.

Lead presentations demonstrating evidence and compliance to internal and external auditors.

Communicate effectively and professionally, both verbally and in writing, to convey information, instructions, and updates.

Collaborate with the RunOps team to ensure adherence to ITIL best practices and support continuous service improvement efforts.
