Position Overview:

The administrative staff provides support to ensure smooth operation of the office by handling clerical tasks, assisting with various administrative functions across teams and managing team communication, scheduling and organizing team event. The role requires strong communication and organizational skills, attention to detail and the ability to multitask efficiently.

Key responsibilities:

1.Office administration and Maintenance

Maintain and organize files, documents, mails

Manage office supplies inventory, maintenance, and procurement

Handle correspondence phone calls and emails

Manage and keep track/record of document coming-in and going-out

2.Department or Team Administrative Support

Assist in HR, marketing and other administrative functions as required

Support teams with ad-hoc administrative tasks

3.Executive Assistant to Company C-level executives

Manage scheduling and meeting

Assist in personal errands, e.g., restaurant and travel booking

4.Scheduling and Coordination

Schedule company and cross-team meetings

Arrange travel schedule and logistics for staff

Coordinate internally and externally as assigned

Greet and assist visitors as well as providing relevant information

5.Data Entry and Documentation

Key-in or maintain accurate and up-to-date records

Prepare and format documents and presentation

Qualifications:

Bachelor’s degree preferred

5+ years experiences in an administrative role

Proficiency in Microsoft office (Outlook, Word, Excel, PowerPoint)

Organized, multitasking, problem solving skills

Service mind and excellent communication skills

Confidentiality mindfulness
