Job Summary
The Operational and Administrative Support personnel will provide comprehensive administrative and operational support for the Department of Defense (DoD)/Veterans Affairs (VA) Capital Asset Planning and Coordination (CAPC) program under Defense Health Agency (DHA) – Facilities Enterprise (FE). This role involves drafting documentation, implementing approved policies, coordinating across departments, and ensuring smooth execution of the DoD/VA joint facility mission. Key responsibilities include managing meetings, developing briefings, tracking and documenting actions, and maintaining information repositories. Will coordinate with VA and DHA stakeholders to update the CAPC Charter, schedule and support various high-level meetings, prepare strategic reports, and assist with policy and operational guidance materials. Additionally, this role involves tracking joint opportunities, identifying potential DoD/VA sites for capital investments, and maintaining essential databases. The ideal candidate has experience in government operations, policy implementation, and stakeholder coordination, with strong organizational and communication skills.
Roles and Responsibilities
Coordinate with VA and CSM for the update of the CAPC Charter
Coordinate with that VA counterparts and J-8 for all meetings to include but not limited to quarterly CAPC co-chair updates, quarterly CAPC meetings, HEC/JEC meetings and weekly DoD/VA AO meetings.
Prepare meeting scheduling, agendas, supporting documents/attachments and notes.
Prepare and maintain activity tracker and prepare due-out responses.
Assist in the preparation and required updates of the Annual Joint Strategic Plan (AJSP)
Prepare updates for the quarterly status reports.
Assist in the coordination of Operational Integrated Process Team (OIPT) and Shared Resources Workgroup (SRWG) and prepare any required materials.
Prepare and maintain World Class Tool Kit (WCTK) CAPC repository.
Coordinate meetings for active joint operations sites.
Prepare and maintain meeting documents and notes and related due outs.
Develop and maintain WCTK joint opportunity/repository.
Assist in the identification and preparation of policy, operations and guidance materials for CAPC, OIPT and SRWG impacting joint opportunity assignments.
Assist in identifying additional DoD/VA sites that may involve capital investments.
Develop, maintain and coordinate DoD/VA joint opportunity tracker.
Prepare and/or assist in preparing briefing materials related to DoD/VA joint opportunities.
Qualifications and Education Requirements
Associate’s degree and 3-5 years of experience in healthcare facilities.
Bachelors’ Degree preferred.
Preferred experience in working with the VA or DoD.
Experience ensuring compliance with DoD or VA facility maintenance standards.
Knowledge of facility management and equipment maintenance.

Additional Notes
The candidate should be comfortable to undergo a background investigation.
Work Hours: Monday through Friday, 8 hours per day, excluding Government holidays. Personnel shall not work more than 80 hours in any two-week period. Due to the nature of performing services in support of healthcare facilities with an ongoing mission, it is occasionally necessary to work outside of clinic hours to de-conflict spaces.
