What you’ll have to do
- Plan, organize and manage the company's archive, including both physical and electronic documents;
- Test system functionalities impacting physical and electronic archiving;
- Implement information systems for document management, including electronic archiving;
- Ensure the creation of archive files according to the established internal procedures and in alignment with the Archival Nomenclature, to guarantee their unaltered preservation;
- Establish document classification and organization systems for efficient and rapid retrieval;
- Ensure that all documents are stored in accordance with current legislation and the company's internal policies;
- Ensure the accuracy and compliance of all archived documents by maintaining communication with company departments and external partners to identify and collect any missing or incomplete documents;
- Systematically archive and query different databases;
- Receive, register and keep records of all documents entered into the archive, in accordance with the Work Instruction for the archiving activity of the Operations Department and with the legislation in force;
- Deliver to the Custodian (external archive) in accordance with the Work Instruction for the archiving activity of the Operations Department and with the legislation in force;
- Collaborate with regulatory authorities to ensure that the archive complies with all legal requirements;
- Participate in internal and external audits in relation to document management;
- Create, evaluate and update work instructions and archiving procedures in line with industry best practices;
- Ensure support for the loan administration team for specific activities related to credit administration, payments, bank insurance, and requests for early repayment;
- Perform quality check activities for data entered in the system, including based on collected documents (i.e. copies of registration documents for individuals / legal entities, credit documentation).
How we’d like you to be:
- With at least 3 years of experience in archive management, including physical and electronic;
- With a university degree;
- With good ability in writing procedure/business requirements;
- Problem solver, seeking viable solutions and solving possible complaints;
- With teamwork skills, ability to establish ethical relationships with the work team; sociability;
- With excellent organizational skills and attention to detail;
- With knowledge of legal regulations regarding document archiving;
- With a working knowledge of digital archiving and document management tools;
- With communication skills: good communicator and listener; good presentation skills;
- With foreign language knowledge: English; level of knowledge: fluent written/spoken;
- Computer proficient in Microsoft Office;
- Results-oriented with the ability to prioritize objectives;
- Customer-oriented – with the ability to establish good relationships with internal and external partners.
